Position Summary:

Medical Receptionist will provide the highest level of customer service to patients, fellow employees, and referral sources through the coordination and administration of the “front office” activities. Accurately obtain all patient information, insurance information, verification and pre-authorization information, processing payments, responding to telephone inquiries, processing referrals, and working faxes while ensuring compliance with relevant laws, regulations and established Company policies and compliance programs. Maintain excellent customer service relationships with patients and referral sources.

Responsibilities:

Patient Check In:

  • Responsible for all aspects of patient appointment scheduling, insurance verification, creation of new patient charts and maintenance of patient records in accordance to Company’s compliance policies, scanning and filing patient documents, ensuring complete and accurate information, managing incoming phone calls, timely completion of all assigned tasks. Prep room for patient encounter, take height and weight of the patient, show patient to exam room.

Patient Check Out:

  • Provides administrative support for all aspects of closing a patient visit including obtaining insurance authorization, providing financial counseling for patients, posting over the counter payments, timely completion of all assigned tasks, scheduling return appointments, updating fab tracking and assigning due dates.

Essential Functions:

  • Provide the highest level of customer service is provided to patients, fellow employees, and referral sources.
  • Obtain accurate insurance information, including eligibility and benefits, verification and pre-authorization.
  • Provide counseling to patients advising them of their financial responsibility once benefits have been verified.
  • Obtain any and all co-payments and over-the counter cash when applicable. Complete cash receipts per guidelines.
  • Maintain accurate and complete patient files, ensuring that they are in compliance with the Company’s Compliance Policies.
  • Ensure the privacy and security of protected health information per HIPAA rules.
  • Assist with patient follow-up as directed.
  • Assist with quality assurance to ensure patient satisfaction with Company’s services as necessary.
  • Enter patient demographics and insurance verifications as appropriate.
  • Efficiently manage multiple phone lines.
  • Record written documentation that is clear, concise, and accurate.
  • File all patient charts and other documentation, following established guidelines.
  • Coordinate scheduling of clinician schedules to ensure proper coverage of patient appointments and out-of-office calls.
  • Process and monitor referrals/authorizations/prescriptions to ensure complete and final information is received in a timely manner.
  • Working updates for the patient
  • Confirming items have arrived before patient’s appointment
  • Compile prior authorization packet and submit to insurance
  • Obtain delivery paperwork
  • Follow up communications with referral source
  • Confirm that patient file is ready for billing

Additional Responsibilities:

  • Maintain a clean, safe, and orderly work environment.
  • Adhere to all safety regulations; compliance with Medicare and other governmental regulations; compliance with HIPAA requirements.
  • Perform other duties or special projects as assigned.

Physical Requirements:

  • While performing the duties of this job, the employee will regularly be required to sit, walk, and stand; occasionally bend or twist; regularly talk and hear, both in person and by telephone; use hands to operate standard office equipment; reach with hands and arms (to include reaching overhead); and lift up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.

Preferred Qualifications and Experiences:

  • 2 years of experience in the medical field required.
  • Working knowledge of HIPAA and other medical insurance regulations and terminology for private payer, state, and federal plans.
  • Understanding of medical reimbursement and terminology and an understanding of front office (receptionist) duties required.
  • Demonstrated ability to provide a high level of customer service to patients, fellow employees, and referral sources.
  • Effective organizational skills and ability to prioritize and plan for the purpose of meeting deadlines.
  • Ability to work effectively as a team member.
  • At least 2 years of computer and office equipment experience including MS Office products (Word, Excel), e-mail, facsimile machines and e-fax, calculator, postage machine, copiers, etc.
  • Basic administrative accounting skills.
  • Effective communication skills.
  • Strong interpersonal, oral (including telephone), and written communication skills.
  • Ability to key 30 words per minute with accuracy required.
  • Ability to work with handicapped individuals.
  • Understanding of Alpha filing system.
  • High school diploma or equivalent combination of education and experience required.

Required Credentials:

  • High school diploma required.
  • Minimum two years of medical experience required.
  • Bilingual (English and Spanish) helpful but not required.
  • Must be able to pass background check, no criminal record.
