The Front Desk Coordinator plays a key role in ensuring the smooth daily operations of the hotel through efficient scheduling, administrative support, and guest service coordination. This position requires a detail-oriented professional who can manage batch processing tasks, coordinate team schedules, handle guest and internal calls, and provide front desk coverage when needed.
ROLE EXPECTATIONS
- Manage and process daily batch reports for reservations, payments, and system reconciliations.
- Ensure accuracy in posting, balancing, and verifying end-of-day transactions.
- Collaborate with accounting and reservations teams to resolve discrepancies.
- Prepare and maintain departmental schedules, ensuring adequate staffing levels for front desk and guest services.
- Track time-off requests, shift swaps, and attendance records.
- Assist with onboarding and training coordination for new team members.
- Answer and direct incoming calls promptly and professionally.
- Handle guest inquiries, service requests, and escalations with courtesy and efficiency.
- Support communication between departments to ensure seamless guest experiences.
- Provide backup coverage for front desk shifts as needed, maintaining the highest level of guest service.
- Perform check-in/check-out procedures, manage room assignments, and process payments.
- Maintain a professional presence in the lobby and assist with guest arrivals or departures during peak periods.
- Assist in compiling daily and weekly reports for management.
- Help ensure compliance with hotel policies, safety standards, and brand service guidelines.
- Support the coordination of VIP arrivals, group check-ins, and special requests.
- Respond to Medallia reviews
- Order supplies for departments

Requirements
- Previous hotel or administrative experience preferred; front desk, reservations, or hotel accounting background a plus.
- Strong computer skills with proficiency in PMS systems (Opera).
- Excellent organizational and multitasking abilities.
- Strong communication and customer service skills.
- Ability to work flexible shifts, including weekends and holidays, as required.
- Operational knowledge of working with a global brand (Marriot, Hyatt, Hilton, etc).
- Experience with planning and operations during system integrations and transitions.
- Must be able to qualify for licenses and permits required by federal, state and local regulations.
- Ability to stand for extended periods when providing front desk coverage.
- May occasionally lift or move up to 25 pounds.
- Work is performed indoors in a climate-controlled environment and exposed to various environmental factors such as but not limited to noise, dust and smoke.
