The Talent Onboarding Specialist performs administrative functions such as gathering, organizing, and maintaining electronic files, provides onboarding assistance to employees and administrative oversight for our onboarding tools. Performs various related duties within our on-line payroll system.
Duties and Responsibilities:
- Communicate with departments when items are complete or have issues creating a delay in their completion, in accordance with onboarding procedures.
- Continue to improve proficiency in ATS Payroll software to grow job opportunities and provide support to the company.
- Provides administrative oversight & reporting related to onboarding checklists & HR-Payroll workflows.
- Monitors workflow task completion by various departments, provides reporting of status updates & provides support as needed.
- Provides administrative oversight & reporting for shared spreadsheets & tools including, but not limited to the COS Tracker & ROSR. Conducts regular maintenance of these files to ensure continuity.
- Run Google Map report to support new employees per diem qualification.
- Perform per diem verifications.
- Provide Administrative support, when necessary, to various departments during peak operations.
- Will perform all I-9 employment eligibility and verifications.
- Performs other related duties as requested.
Qualifications:
- 2 years of experience in HR, onboarding, recruiting coordination, or a related field.
- Strong understanding of employment documentation, I‑9 regulations, and onboarding workflows.
- Experience with HRIS and ATS systems (UKG preferred).
- Excellent organizational skills and attention to detail.
- Strong customer service mindset and communication skills.
- Ability to handle confidential information with professionalism and discretion.
Working Conditions:
- This role is remote or hybrid, with standard office or home office environment.
- Work involves extended periods of sitting, using a computer, and interacting with employees and candidates.
- May require occasional lifting of up to 20 pounds (e.g., onboarding materials or equipment).
- Occasional extended hours may be required during peak onboarding periods.

Education and Experience:
- High School diploma or GED certificate required.
- 3-5 HR onboarding experience
- 1 general HR knowledge
- Preferred experience in construction, power generation or power delivery
- Proficiency in MS Office Suite or related software
Physical Requirements:
- Primarily consists of sedentary work with prolonged periods of sitting at a desk and working on computer or using telephone.
- Frequent sitting, talking, hearing and repetitive motions.
- Walking standing reaching pushing pulling lifting required occasionally.
- Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer screen; expansive reading; visual inspection involving small effects, small parts and or operation of office equipment at distances close to the eyes.
- Responsibility for various task carried out in the corporate office or home office.
- Must be able to lift up to 15 pounds.
- Travel required up to 5%, attending corporate meetings at the Pinehurst office, as scheduled. This position is home based, or office based, located in Pinehurst, NC.
