We are seeking a highly organized and proactive Senior Administrative Assistant to provide comprehensive administrative support to a department or individual. This role is ideal for an experienced professional who excels in a fast-paced environment and can manage multiple priorities while maintaining exceptional attention to detail.
The successful candidate will serve as a key support function, handling a wide range of administrative duties including typing, filing, phone management, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies, and sorting/distributing mail. This position goes beyond basic administrative tasks, requiring the ability to work on special projects that involve recording, compiling, retrieving, reporting, and analyzing information.
This senior-level position requires someone who can work with moderate direction, identify issues and problems independently, and seek assistance when needed for complex resolutions. The role includes opportunities to manage, train, and mentor other office staff, lead projects, and handle confidential and sensitive data. Responsibilities
- Provide comprehensive administrative support to department leadership or designated individuals
- Manage complex calendaring, scheduling, and meeting coordination across multiple stakeholders
- Answer and route phone calls professionally, ensuring excellent customer service
- Create, maintain, and organize filing systems for both physical and electronic records
- Coordinate meetings and conferences, including logistics, materials preparation, and follow-up documentation
- Procure and manage office supplies, ensuring adequate inventory levels
- Sort, distribute, and manage incoming and outgoing mail and correspondence
- Prepare correspondence, reports, presentations, and other documents with accuracy and professionalism
- Work on special projects involving data recording, compilation, retrieval, reporting, and analysis
- Handle confidential and sensitive information with discretion and professionalism
- Manage, train, and mentor other administrative staff as needed
- Lead administrative projects and initiatives to improve departmental efficiency
- Identify administrative issues and problems, seeking appropriate assistance for resolution
- Multi-task effectively while maintaining attention to detail and meeting deadlines
- Prioritize workload based on organizational needs and urgency
- Develop and implement improved administrative processes and procedures
- Serve as a liaison between department and other internal/external stakeholders
- Maintain professional communication with all levels of the organization
Required Qualifications:
- Proven experience as a Senior Administrative Assistant or in a similar senior-level administrative role
- Excellent verbal and written communication skills
- Proficiency with MS Office suite (Word, Excel, and PowerPoint)
- Strong email system management and correspondence skills
- Strong administrative coordination abilities
- Demonstrated customer service experience and skills
- Ability to multi-task and prioritize effectively in a fast-paced environment
- Strong organizational and time management skills
- Ability to work with moderate direction and demonstrate initiative
- Capability to identify issues and problems independently
- Experience handling confidential and sensitive information
