Responsibilities include budgeting support, staffing coordination, customer satisfaction, team retention, and supporting sales and marketing efforts. The ideal candidate is resourceful, organized, emotionally intelligent, and committed to maintaining high standards of care and service.Key ResponsibilitiesVerbal CommunicationCommunicate effectively in both 1:1 and group settings.Clearly articulate the agency’s vision, goals, and expectations.Keep staff and the franchise owner informed on operations and progress.Maintain strong relationships with clients, families, caregivers, and community partners.OrganizationEnsure daily office operations are efficient and cost-effective.Consistently implement company policies and procedures.Manage administrative functions including budgeting support, P&L tracking, HR practices, accounting, documentation, and data accuracy.Oversee public information materials and ensure accuracy.Listening & Customer ServiceDemonstrate empathy, patience, and genuine interest in the needs of others.Encourage open communication and address concerns thoughtfully and professionally.Compliance & Decision-MakingMaintain compliance with all California state regulations and federal requirements.Respond appropriately to complaints, incidents, or regulatory issues.ResourcefulnessCoordinate and negotiate third-party services as needed.Identify opportunities to improve processes, efficiency, and client satisfaction.Maintain a proactive, solutions-oriented mindset.Conflict ManagementAddress conflicts early, constructively, and professionally.Coaching & TrainingAssist with developing retention plans for office staff.Train team members for their current responsibilities and future growth (all training time is compensated).Assign job-related, skill-building tasks that support development during paid hours.Staffing & Team SupportHelp maintain appropriate staffing levels with qualified personnel.Participate in hiring, training, evaluations, and corrective action according to company policy.Position team members where their strengths best support business goals.Education, Skills & RequirementsHigh school diploma or equivalent required; minimum 2 years of business or office management experience.Strong computer and office administration skills.Excellent interpersonal, organizational, and telephone communication abilities.Knowledge of basic medical terminology preferred (training provided if needed).Ability to work independently and exercise sound judgment.Must read, write, and speak English proficiently.Ability to perform standard office tasks with or without reasonable accommodation.On-Call Availability Availability to participate in a limited after-hours on-call rotation.All time spent actively responding, working, or performing job duties during on-call hours will be compensated according to California wage and hour laws.
