This role serves as the backbone of our office—ensuring smooth operations, supporting staff and caregivers, maintaining compliance, and helping drive the business forward. Position Summary
The Operational Assistant will work directly with the ownership team, serving as a key support partner in managing office workflow, client coordination, caregiver support, and administrative tasks. This individual will play a significant role in improving processes, supporting operations, and contributing to business growth.
Key Responsibilities
- Assist with day-to-day office operations
- Support scheduling, staffing, and caregiver coordination
- Help maintain caregiver files, onboarding, and compliance documents
- Assist with client communication, updates, and service coordination
- Organize and maintain office processes, records, and operational systems
- Support recruitment activities and applicant follow-ups
- Assist with performance tracking, reporting, and operational metrics
- Help manage special projects that improve efficiency and service delivery
- Provide administrative support to ownership as needed
Qualifications
- 1–2 years of administrative, operational, or coordination experience (home care preferred but not required)
- Strong organizational and multitasking abilities
- Very comfortable with technology, scheduling systems, and recordkeeping
Familiar with Wellsky, Apploi, Isolved and Quickbooks software.
- Strong communication skills with a professional, compassionate tone
- Ability to take initiative, solve problems, and support a fast-paced environment
- Detail-oriented and reliable with strong follow-through
