We are seeking an experienced and people-focused manager to oversee the daily operations, staff management, and human resource functions of our plastic surgery clinic and medical spa. This role is responsible for maintaining efficient business operations while supporting a positive workplace culture, employee development, compliance, and exceptional patient care.
The ideal candidate is a strong leader with experience in healthcare operations, human resource employee relations, organizational development, and medical practice administration. This position works closely with providers and leadership to ensure operational excellence, staff accountability, and continued growth of the practice.
Duties & Responsibilities
Human Resources & Team Leadership
- Oversee employee relations, workplace culture, and day-to-day staff management.
- Assist with recruiting, onboarding, training, and retention of employees across clinical and administrative departments.
- Develop and implement HR policies, office procedures, and operational workflows.
- Coordinate employee performance evaluations, coaching, disciplinary actions, and professional development initiatives.
- Ensure compliance with company policies, confidentiality standards, HIPAA regulations, and employment practices.
- Foster a positive, team-oriented environment that promotes professionalism, accountability, and exceptional patient experiences.
- Serve as a resource for employee concerns, conflict resolution, and workplace communication.
Office Management
- Manage daily operations of the practice to ensure efficient workflow and high-quality patient care.
- Oversee medical administrative support functions including scheduling, billing coordination, patient communication, and medical records management.
- Develop and manage operational budgets to support financial performance and resource allocation.
- Implement office management strategies to improve efficiency, patient flow, and organizational structure.
- Collaborate with providers and leadership regarding scheduling, staffing, workflow optimization, and growth initiatives.
- Maintain and improve operational systems and processes across both the surgical and medical spa departments.
- Utilize software systems such as ModMed, RepeatMD, or Epic to support practice operations and reporting.
- Monitor compliance with healthcare regulations, accreditation standards, and internal protocols.
Qualifications & Experience
- Proven experience in healthcare operations, medical practice management, human resources, or a related leadership role required.
- Strong understanding of employee management, HR processes, and healthcare administration.
- Experience with medical administrative support functions and office management best practices.
- Knowledge of HIPAA compliance, confidentiality standards, and healthcare workplace regulations.
- Experience with electronic health record systems such as Epic, EMA, Modernizing Medicine (ModMed), or similar platforms.
- Proficiency in budgeting, reporting, and operational management within a healthcare setting.
- Excellent leadership, communication, and organizational skills.
- Ability to multitask effectively and maintain professionalism in a fast-paced environment.
- Experience in aesthetics, plastic surgery, or specialty medical practices preferred.
