Payroll Administrator
Location: Chandler, AZ
Reports To: Payroll Manager
FLSA Status: Non-Exempt
Position Summary
We’re looking for a sharp, fast-moving Payroll Processor who thrives in a high-volume, multi-state environment and doesn’t flinch at complexity. This role goes beyond processing payroll—you’ll be a key operator in ensuring accuracy across multiple pay structures, supporting system improvements, and keeping payroll running clean, compliant, and on time every time.

Key Responsibilities
Payroll Processing & Execution
• Process payroll for multi-state, high-volume employee populations with precision and speed
• Manage multiple pay frequencies (weekly, biweekly, semi-monthly, etc.) without missing a beat
• Ensure accurate calculation of wages, commissions, bonuses, and deductions across varied compensation structures
• Audit payroll data for accuracy (rates, hours, earnings, deductions) before final submission
• Execute payroll in ADP Workforce Now (or similar ADP systems)
• Process manual checks and off-cycle payments, including final pay, corrections, commissions true-ups, and special payouts
• Perform and validate manual payroll calculations (taxes, deductions, net pay) with a high degree of accuracy
• Ensure all manual payments are properly approved, documented, and reconciled within payroll systems
• Partner with HR and Finance to validate one-time or non-standard payments before processing
• Maintain clear audit trails for all manual checks to support compliance and financial accuracy
Complex Pay Structures
• Handle multiple compensation plans including hourly, salary, commissions, draws, and incentives
• Partner with HR and Finance to validate pay plans and ensure correct system setup
• Troubleshoot discrepancies quickly and resolve root causes—not just symptoms
Compliance & Controls
• Ensure compliance with federal, state, and local wage and hour laws
• Maintain strong payroll controls and documentation to support audit readiness (SOX-friendly mindset)
• Ensure proper controls and approvals are followed for all manual and off-cycle payments
• Reconcile manual checks to payroll registers and general ledger to ensure full alignment
• Support reporting and reconciliation efforts tied to payroll and benefits
Projects & Process Improvement
• Support payroll-related projects (pay frequency changes, system updates, acquisitions/integrations, etc.)
• Identify inefficiencies and recommend smarter, faster ways to run payroll
• Assist in developing scalable processes as the business grows
Cross-Functional Support
• Partner with HR, HRIS, and Accounting on employee changes, deductions, and reporting
• Serve as a go-to resource for payroll questions and issue resolution
• Provide backup support across payroll and HRIS functions as needed
Additional Responsibilities
- Perform additional responsibilities as needed to support risk management operations, process improvement, and business needs
Qualifications
• 3–5 years of hands-on payroll processing experience (not just reviewing—actually running it)
• Strong experience with ADP Workforce Now or similar ADP platforms
• Proven ability to manage multiple payroll cycles and complex pay plans simultaneously
• Experience processing and validating manual/off-cycle payroll payments with strong controls
• Deep attention to detail—you catch what others miss
• Strong follow-through—you close loops and don’t let things linger
• Ability to prioritize and manage multiple deadlines in a fast-paced environment
• Resourceful mindset—you figure things out without needing a roadmap
• Comfort working in environments that are still being built (not everything will be perfect—and that’s okay)

• Exposure to payroll audits or SOX compliance controls
• Experience with payroll transitions, integrations, or system clean-up
• Ability to balance speed and accuracy (rare, but critical here)

Physical Requirements & Work Environment
- In office Monday through Thursday, remote on Fridays with use of computer, phone, and standard office equipment
- Ability to remain in a stationary position for extended periods
- Frequent communication with internal and external partners
- Ability to travel occasionally to field locations as needed for training, audits, and incident review
- May be exposed to operational environments (retail/service areas with equipment and noise)
