What You'll Do
As a Service Coordinator / Dispatcher, you will:
- Answer incoming service calls and accurately document customer requests.
- Dispatch HVAC service calls and schedule technicians based on customer needs and technician availability.
- Coordinate daily technician schedules and provide technicians with job-related information.
- Create and issue purchase orders for parts, materials, and vendors.
- Verify and reconcile technician time entries for payroll processing.
- Schedule and coordinate preventative maintenance (PM) inspections and services.
- Maintain open service and PM call lists and communicate updates to technicians and managers.
- Review completed service tickets for accuracy and billing readiness.
- Process purchasing card transactions and reconcile receipts.
- Monitor and maintain technician truck stock inventory.
- Manage on-call schedules and update answering service systems.
- Follow up with customers regarding service satisfaction, outstanding quotes, and ongoing service needs.
- Provide support and backup for other dispatchers and service coordinators as needed.
- 3–5 years of administrative experience.
- Strong computer skills, including proficiency in Microsoft Office.
- Excellent organizational and time management abilities.
- Strong verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Exceptional customer service skills.
- Reliable attendance and a team-oriented attitude.
- Service industry or dispatching experience.
- Experience supporting HVAC, construction, mechanical contracting, or field service operations.
- Familiarity with service management or dispatch software.
