Job Description

The Richmond City Sheriff’s Office is seeking a dynamic and highly qualified Administrative Coordinator. This position is grant funded. The Administrative Coordinator is a staff person of the Richmond Sheriff’s Office. This position is the coordinator of all administrative services provided by the RCSO for the program, to include working directly with involved departments in the Sheriff’s Office, RBHA, OAR, and other partners. The Administrative Coordinator establishes relationships with and provides case management services for participants to help identify goals and assist with problem-solving regarding reentry needs (housing, social services, employment, legal etc.) as well as to help promote self-esteem and skill development. This person reviews referrals and resident request forms, tracks referrals and intakes, reviews resident’s eligibility status (legal, classification and length of stay), administers screening tools such as the OST/MOST, and tracks overall program participant progress and program productivity. The Administrative Coordinator also facilitates participant social groups, coordinates program and service sign-ups and scheduling for residents and provides for a full scale of administrative duties including the scheduling of program meetings, compilation of data and completion or regularly scheduled reports, and ordering office supplies. Further, the individual collaborates with the Community Case Coordinator to help facilitate participants’ housing plans and collaborates with attorneys, the RCSO records department, and probation officers to receive updates on residents’ sentencing, release information and program eligibility status. Lastly the Administrative Coordinator collaborates with the contracted medical provider regarding participant referrals and medical consultation relative to the participants’ overall case management.

The preferred candidate should possess a four-year degree in business, liberal arts, or a related field and three years of experience and/or an equivalent combination of education and experience. Must be proficient in the usage of the English language which involves the ability to read, write and speak. The candidate should be able to demonstrate competencies in Microsoft applications including Word, Excel and Outlook. Strong interpersonal skills are required.

RESPONSIBILITIES

  • Handling basic office duties, such as answering and routing phones, responding to emails, data entry, and reporting.
  • Establishes relationships with and provides case management services for participants to help identify goals and assist with problem solving regarding reentry needs (housing, social services, employment, legal, etc.) as well as to help promote self-esteem and skill development.
  • Reviews referrals and resident request forms, tracks referrals and intakes, reviews resident's eligibility status (legal, classification and length of stay), administers screening tools such as the OST/MOST, and tracks overall program participant progress and program productivity.
  • Facilitates participant social groups, coordinates program and service sign-ups and scheduling for residents and provides for a full scale of administrative duties including the scheduling of program meetings, compilation of data and completion of regularly scheduled reports, and ordering office supplies.
  • Collaborates with MHJP team to create an execute weekly schedules for program participants.
  • Collaborates with the contracted medical provider regarding participant referrals and medical consultation relative to the participants' overall case management.
  • Collaborates with the Community Case Coordinator to help facilitate participants' housing plans and collaborates with attorneys, the RCSO records department, and probation officers to receive updates on residents' sentencing, release information and program eligibility status.
  • Creates, collect data, prepare reports, update spreadsheets and submit required monthly, quarterly and annual reports before or by submission dates.
  • Develops and maintain accurate and complete records and reports. Writes routine reports, correspondence and other departmental documents.
  • Maintains proper level of office supplies and submit supply and resource orders quarterly and as needed.
  • Performs other duties as assigned.


QUALIFICATIONS

  • Minimum of a bachelor's degree is preferred.
  • Must be proficient in the usage of the English language which involves the ability to read, write and speak.
  • Should be able to demonstrate competencies in Microsoft applications including Word, Excel and Outlook.
  • Strong interpersonal skills are required.
  • Preferred candidate have work experience in a correctional setting.
  • Valid driver's license in Commonwealth of Virginia.
