JOB SUMMARY
This position provides administrative support to Finance, Human Resources, and Risk Management. Work involves a variety of administrative duties, including policy conversion and revision, processing purchase orders and refunds, maintaining records and files, preparing correspondence and reports, assisting with data entry and document management, and providing general office support to ensure efficient departmental operations.
ESSENTIAL JOB FUNCTIONS
- Provides administrative support to Finance, Human Resources, and Risk Management staff.
- Converts, revises, formats, and maintains departmental policies, procedures, and related documents.
- Processes purchase orders, invoices, refunds, and other routine financial documents as assigned.
- Oversees Iron Mountain document management, including records storage, retrieval, tracking, and related administrative coordination.
- Maintains accurate records, files, databases, and tracking systems for departmental activities.
- Assists with data entry, document preparation, correspondence, and report generation.
- Responds to routine inquiries and directs requests to the appropriate staff member or department.
- Assists with scheduling, meeting coordination, and preparation of materials as needed.
- Reviews forms and documents for accuracy, completeness, and proper routing.
- Supports special projects and other administrative tasks for Finance, HR, and Risk Management.
- Performs related duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
- Associate’s degree,
- Three (3) years of related work experience in secretarial and administrative work, preferably in a government setting.
- Or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities for this position.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of policies, procedures, and practices pertaining to this position.
- Knowledge of general office procedures and administrative practices.
- Knowledge of Microsoft Office and basic database systems.
- Knowledge of recordkeeping, filing, and document management practices.
- Skill in written and verbal communication.
- Skill in organizing, prioritizing, and managing multiple tasks.
- Skill in preparing and revising documents with attention to detail.
- Ability to maintain confidentiality.
- Ability to work independently and as part of a team.
- Ability to establish and maintain effective working relationships.
- Ability to follow directions and complete assignments accurately and on time.
CERTIFICATION, LICENSE, AND SPECIAL REQUIREMENTS
- Must possess a valid Driver’s License to drive an RCRC vehicle, and produce an acceptable 10 year driving record.
PHYSICAL DEMANDS
The work is sedentary work and requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; work may also require manual dexterity, handling, perceiving sounds at normal speaking levels, distinguishing among sounds, kneeling, lifting, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity for data/color/observations/
equipment, and walking.
