SUMMARY:
This role provides administrative and clerical support to the school counseling department while serving as a main point of contact for students, parents, and visitors.
EDUCATION/LICENSE/EXPERIENCE REQUIREMENTS:
1. High school diploma
2. Possess strong leadership, communication, and organizational skills
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties as assigned.
- Provide administrative support to school counselors and the counseling department
- Serve as the first point of contact for students, parents, and visitors to the counseling office
- Maintain student records, transcripts, and cumulative files in accordance with confidentiality laws (FERPA)
- Process transcript requests and documentation for colleges, scholarships, and employers
- Registrar which includes all student enrollment and withdrawals
- Manage correspondence, including emails, phone calls, and mailings related to counseling services
- Support testing coordination (e.g., SAT, PSAT, AP, state testing) by preparing materials and organizing logistics
- Enter all credits from vocational school, alternative education and transfer credits
- Assist with college applications and recommendation materials
- Assist counselors in organizing Honors Night ceremony
- Collaborating with the school principal in accepting or denying student transfer applications
- Maintain office supplies and organize counseling office operations
- Ensure accurate data entry in student information systems (e.g., Harmony)
- Provide general clerical support, including copying, filing, and document preparation
- Strong organizational and multitasking skills
- High level of confidentiality and professionalism

- Ability to work effectively with students, parents, and staff

LANGUAGE SKILLS:

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES:
Ability to operate a personal computer and related software. Ability to get along with other people. Patience in dealing with parents and children. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
