The Project Coordinator provides direct support to the Land Development Coordinator, assisting with project tracking, documentation, and coordination of consultants. This position ensures that day-to-day project operations run efficiently and in alignment with departmental goals. The Project Coordinator helps maintain organized records, prepare presentations and reports, and facilitate communication among project teams, consultants, and management. This role requires strong organizational skills, attention to detail, and proficiency in Microsoft Office programs, including Excel, Word, and PowerPoint.
Reports to the Land Development Coordinator.
General ResponsibilitiesProject Coordination & Administrative Support• Assist the Land Development Coordinator in managing active development projects, ensuring documentation, reports, and communications are accurate and up to date.
• Coordinate meetings, maintain project calendars and project updates and prepare summaries or updates for leadership.
• Help solicit consultant proposals and track contracts, invoices, and approvals through completion.
• Maintain and organize project files, correspondence, and other critical records.
• Support the preparation of presentations, spreadsheets, and visual materials for internal and external meetings, primarily using Microsoft Office applications.
Consultant & Vendor Coordination• Assist in communication with consultants, engineers, land planners, and municipal contacts to gather updates and relay information to the Land Development Coordinator.
• Assist in tracking consultant progress, deliverables, and deadlines to ensure timely execution of project components.
• Prepare comparison summaries and reports to aid in evaluating consultant and vendor performance.
Financial & Document Management• Help monitor project budgets and financial documentation, maintaining organized files of contracts, invoices, and approvals.
• Assist with reviewing invoices for accuracy and routing them for approval and payment.
• Support tax and appraisal documentation processes as directed by the Land Development Coordinator.
Communication & Reporting• Draft and edit correspondence, reports, and summaries for distribution to Land Development Coordinator.
• Support regular project status updates, meeting minutes, and action item tracking.
• Assist in compiling and formatting information for management presentations and board or ownership meetings.
Regulatory & Compliance Support• Maintain awareness of project permitting and regulatory timelines; assist with tracking compliance requirements.
• Support documentation needs related to MUDs, RUDs, MDs, WCIDs and other special-purpose districts as directed.
Qualifications & Skills• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
• Strong organizational and communication skills, with a focus on accuracy and follow-through.
• Ability to manage multiple priorities, meet deadlines, and work collaboratively in a fast-paced environment.
• Professional demeanor with excellent written and verbal communication skills.
• Eagerness to learn new systems and tools and land development documentation workflows.
