JOB SUMMARY:

The Clinic Intake Specialist serves as a compassionate and detail-oriented frontline professional. This role manages all aspects of patient intake, from greeting new and existing patients to gathering and verifying critical information. The specialist ensures all documentation is accurately completed and entered into the electronic health records (EHR) system to support the clinical care team. The Intake Specialist's work is essential for operational efficiency, accurate record-keeping, and protecting patientconfidentiality.

JOB DUTIES & RESPONSIBILITIES:

  • Handle office interactions with outside visitors. This includes greeting and directing guests, answering phone inquiries, and handling requests or complaints in a professional manner.
  • Occasionally travel off-site to deliver files and reports to various departments within the organization.
  • Maintain files with confidentiality in an easily accessible format.
  • Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself greet patients upon arrival, sign them in and obtain insurance information and any other necessary data
  • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents
  • Process payments from patients for co-pays and uninsured visits
  • Schedule appointments for new and recurring patients based on Physician/Provider
  • Maintain hard copy patient records as well as the files stored in our EHR
  • Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services
  • Provide patients with support and guidance as needed
  • Scan documents into the EHR as required.
  • May be required to be a “floater” for different office roles based on need and may occasionally be a “floater” at different RMC clinics/offices.
  • Actively participates in all quality assurance, performance improvement activities.
  • Operates standard office equipment, including computers, copiers, printers, telephones, clinical machines, etc.

QUALIFICATIONS:

Education & Training:

  • High School diploma or equivalent is required.
  • Medical office degree or equivalent preferred.
  • CPR (BLS) Certification Required (Or willingness to obtain)

Work Experience:

  • 1-2 years experience in medical office environment preferred.
  • Experience in basic bookkeeping and tracking financial transactions.
  • Good organization, scheduling and time management skills.
  • Previous experience with administrative duties in an office setting preferred.
  • Working knowledge of Microsoft Office with a typing speed of at least 60 wpm.

  • Demonstrate a strong understanding of HIPAA policies and regulations
  • Ability to work effectively as a team member, communicates clearly, compassionately, and

respectfully, with all health professionals, as well as with administrative support staff.

  • Ability to flexibly respond to changing demands within the work environment.
  • Ability to organize and prioritize tasks, time, and responsibilities effectively, as well as to work independently and with minimal supervision.

  • Ability to tolerate mental and emotional distress as an anticipated aspect of the position.
  • May require working under stressful conditions.
  • Requires sitting and standing for extended periods of time. Some bending, stretching, lifting, and stooping may be required.
  • Requires manual dexterity sufficient to operate office equipment. Requires a normal range of hearing and vision, and the ability to communicate with office personnel, patients, and the community.
  • Handling emergency crisis situations
