POSITION DESCRIPTION:
The Document Management Specialist supports the acquisition, transfer and ongoing management of mortgage loan documents. The role ensures accurate receipt, validation and maintenance of collateral documents post-acquisition and throughout the servicing life cycle. The position also manages key vendor relationships, including document custodians and third-party providers, to ensure timely resolution of exceptions, portfolio transfer and compliance with contractual and regulatory standards.
DUTIES AND RESPONSIBILITIES:
- Oversee receipt and reconciliation of collateral and custodial documents during MSR acquisitions
- Validate chain of title, assignments, and endorsements to confirm accuracy and compliance
- Track missing or defective documents and work with counterparties to resolve exceptions
- Monitor all MERS (Mortgage Electronic Registration System) activities while ensuring compliance with MERSCORP rules
- Serve as primary point of contact for document custodians and third-party vendors, monitor performance against service-level agreement (SLAs), and escalate issues when necessary
- Maintain document exception reporting and status tracking to support MSR acquisition, servicing, and ongoing management
- Assist in developing and maintaining internal policies related to collateral document oversight and MERS administration
- Assist with operational functions for Service Transfer and Servicing Oversight teams, supporting workflow efficiency to ensure seamless transfer and servicing activities
QUALIFICATIONS:
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- 2 years of mortgage servicing, collateral management, custodial document oversight or MERS administration
- Knowledge of MERS processes, reporting, and compliance obligations
- Familiar with Fannie Mae, Freddie Mac, or private investor documentation standards
- Experience managing vendors, custodians, or subservicers
- Strong communication skills, both verbal and written
- Excellent computer skills, particularly advanced skills with Microsoft Excel
- Comfortable working in a high growth, fast moving environment
- Demonstrated ability to work with minimal supervision; ability to work and problem solve independently
