Responsibilities
- Greet clients and visitors warmly at the front desk, providing excellent customer service with a friendly demeanor.
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining a positive phone etiquette.
- Handle data entry, filing, and document proofreading to ensure all client records are accurate and up-to-date.
- Utilize office management software such as Microsoft Office, and Clio to organize schedules, invoices, and correspondence.
- Support calendar management and appointment scheduling for staff and clients, ensuring efficient time management.
- Assist with clerical tasks including copying, scanning, and maintaining organized filing systems.
Post-Closer Responsibilities
- Ensure timely and accurate recording of all closing documents, including deeds, mortgages, and related instruments.
- Track and confirm recording information, follow up on rejections or defects, and coordinate corrections as needed.
Requirements
- South Carolina Resident with current notary stamp.
- Proven experience in administrative support roles with strong organizational skills.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) .
- Excellent phone etiquette and communication skills; ability to handle multi-line phone systems confidently.
- Previous office experience in a customer service or clerical role is preferred.
- Strong typing skills with attention to detail for proofreading and data entry tasks.
- Ability to manage time efficiently in a fast-paced environment while maintaining professionalism.
