Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure efficiency.
- Coordinate and plan company events, meetings, and training sessions to promote team engagement and development.
- Supervise administrative staff and provide guidance on clerical tasks such as filing, bookkeeping, and document management.
- Manage vendor relationships by negotiating contracts, tracking service delivery, and ensuring timely supplies and maintenance.
- Handle human resources functions including onboarding new employees, payroll processing using QuickBooks, and supporting employee records management.
- Maintain accurate budgeting records, monitor expenses, and assist with financial reporting related to office supplies and services.
- Support medical or specialized office management tasks as needed, ensuring compliance with relevant policies and procedures.
Qualifications
- Proven experience in office administration or office management roles with strong organizational skills.
- Demonstrated supervisory experience leading teams or managing staff effectively.
- Proficiency in QuickBooks for bookkeeping, payroll processing, and financial tracking.
- Excellent communication skills with a professional phone etiquette for handling multi-line phone systems.
- Experience in event planning, vendor management, calendar management, and scheduling coordination.
- Knowledge of human resources procedures including onboarding, training & development initiatives.
- Familiarity with medical office management or specialized administrative environments is a plus.
