As we continue to grow, we are looking for a detail-oriented Accounts Payable Specialist to support our finance team by ensuring vendor payments, expense tracking, and financial records are accurate, timely, and well organized.
Position Overview
The Accounts Payable Specialist owns the full lifecycle of the accounts payable process, including invoice processing, vendor management, payment scheduling, and reconciliation. This role works closely with internal departments to ensure expenses are properly documented and aligned with company policies.
This position requires high attention to detail, strong organizational skills, and the ability to manage multiple priorities while maintaining accuracy and compliance.
Key Responsibilities
Accounts Payable Operations
- Process vendor invoices accurately and efficiently
- Match invoices to purchase orders and receiving documentation
- Ensure proper coding of expenses within the accounting system
- Schedule and execute weekly payment runs
Vendor Management
- Maintain vendor records and ensure W-9 documentation is collected
- Respond to vendor inquiries and resolve discrepancies
- Reconcile vendor statements and identify outstanding balances
Expense & Financial Controls
- Review employee expenses for compliance with company policies
- Maintain organized financial documentation and audit trails
- Assist with month-end close processes related to payables
- Provide data for daily or weekly cash flow forecasts to aid management in maintaining adequate liquidity.
Cross-Department Collaboration
- Partner with operations, purchasing, and finance teams to resolve invoice issues
- Support process improvements to increase efficiency and financial accuracy
Qualifications
- 3 years of Accounts Payable/Receivable or Accounting experience
- Experience with ERP or accounting systems (Fufil.io, Bill.com, ect.)
- Understanding of IRS 1099 reporting requirements and tax compliance a plus
- Strong attention to detail and organizational skills
- Comfortable working in a fast-paced, growing company environment
- Strong communication skills with both vendors and internal teams
- Proficiency in Excel / Google Sheets
