We are seeking an Executive Administrative Assistant to join our team!

LOCATION: Office-based position in West End, NC
ABOUT THE ROLE:
We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to support our senior leadership and real estate teams. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will act as a trusted partner to executives, ensuring smooth day-to-day operations and efficient coordination across teams. Familiarity with real estate sales, equity and investor relations, and marketing initiatives is highly desirable.
KEY RESPONSIBILITIES:
Leadership Team Support
- Deliver comprehensive administrative assistance to executives, ensuring their day-to-day needs are met efficiently
- Coordinate and maintain executive calendars, including scheduling meetings and appointments
- Organize travel arrangements and facilitate logistics for meetings and events.
- Draft, edit, and manage all correspondence, reports, presentations, meeting agendas, and minutes, ensuring accuracy and professionalism
- Act as a key liaison among executives, internal teams, investors, clients, and external partners to foster effective communication and collaboration
- Coordinate employee anniversary milestone programs
- Handle additional administrative duties as required, adapting to the evolving needs of the leadership team
Real Estate Sales
- Track available real estate inventory and coordinate listings as appropriate
- Manage property listings in collaboration with brokers
- Lead and support negotiations of Letters of Intent (LOIs) and sales contracts.
- Prepare, review, and finalize sales contracts
- Review purchase agreements ensuring accuracy of settlement terms
- Serve as the primary point of contact with buyers’ team from due diligence through closing
- Coordinate closely with legal counsel on all aspects of the asset sale process
Equity Partner/Investor Management
- Manage equity partner investments across client-specific programs
- Oversee investor communications throughout the investment lifecycle, including initial investment, asset sale, and distribution of equity, interest, and profits
- Coordinate investor outreach regarding capital contributions, equity calls, new investment opportunities, and monthly updates on upcoming equity needs
- Serve as the primary point of contact for all investor inquiries
Manage Marketing Specialists
- Provide guidance and approval for newsletters and marketing communications
- Oversee social media content and posting schedules
- Manage email marketing campaigns through Constant Contact
- Support development of marketing materials including, but not limited to, pitch books, investor summaries, etc.
- Supervise company-branded merchandise and clothing orders
QUALIFICATIONS:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 3-7 years of experience supporting senior executives and real estate teams.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities.
- Excellent negotiation, communication, and interpersonal skills.
- Ability to work independently and collaboratively in a team environment
- Professional demeanor and ability to handle confidential information appropriately.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
- Strong problem-solving skills and attention to detail.
PREFERRED SKILLS:
- Experience with real estate and property search platforms.
- Familiarity with equity tracking or investor reporting processes.
- Knowledge of marketing tools (email marketing platforms, social media scheduling tools, and basic design software)
- Ability to anticipate executive needs and act proactively.
