Our Opportunity: We are seeking an energetic, self-starter, team-oriented secretary for a full-time position. The successful candidate must be a self-starter who can manage multiple priorities, provide strong administrative support to the Operations Team and on occasion, to the Legal Team.
The ideal candidate is detail oriented, energetic, outgoing and able to effectively prioritize multiple tasks. The position is currently a hybrid position, working remotely, as well as at the Boca Raton office multiple days a week.
Responsibilities:
- Answer and transfer phone calls, take client messages, and follow-up calls.
- Handle client intake by answering initial calls, screening potential clients, scheduling consultations, and collecting necessary forms and documentation.
- Assist with accounts receivable by tracking payments, following up with clients on outstanding balances, and conducting professional collection calls and emails, including ability to handle payment discussions.
- Prepare, update, and maintain administrative reports.
- Effectively communicate with clients and team.
- Strong note-taking skills to document discussions and action items during meetings.
- Collaborate with team members.
- Demonstrate professionalism and discretion in handling sensitive and confidential information.
- Provide additional administrative support and perform other duties as assigned.
- Draft correspondence and basic legal documents/pleadings under attorney supervision.
- Electronically file court documents using the Florida Courts’ E-Filing Portal.
- Travel to the Boca Raton and Coral Gables offices and/or courthouses in the South Florida area on limited occasions as needed.
- Assist with general office tasks including mail distribution, scanning, copying and printing.
- Support operations team in other administrative projects.
Experience Preferred:
- CRM systems
- Microsoft Suite
- QuickBooks
- Billable hours
- Familiarity with Florida Courts’ E-Portal
- Bilingual in Spanish, verbal and written
