The Field Administrative Assistant plays a key role in supporting the daily operations of our field teams. Reporting directly to the Director of Operations, this position is responsible for a variety of administrative tasks that ensure smooth and efficient workflow across departments. Responsibilities include facilitating employee onboarding through Paylocity, collecting and maintaining daily payroll reports and spreadsheets, and performing field escorting duties, which require proper badging. The assistant is also tasked with updating digger numbers for various job sites and collaborating with the Accounts Payable team to manage material tickets and field purchase orders. Regular follow-up with Project Managers regarding the status of field tickets and POs is essential. Additionally, the role involves creating and maintaining organized filing systems for job and maintenance documentation, scheduling meetings for Project Managers and Foremen as needed, and supporting special projects as assigned. This position requires strong attention to detail, excellent organizational skills, and the ability to communicate effectively across teams in a fast-paced environment
Responsibilities:
The goals/duties of the Field Administrative Assistant include, but are not limited to:
- Onboard new employees on Paylocity
- Collect daily payroll reports
- Update payroll spreadsheet with all daily payroll reports
- Field Escorting as needed (requires badging)
- Update digger numbers for job sites
- Assist Accounts Payable with material tickets and field Purchase Orders
- Follow up with Project Managers on status of field tickets & Pos.
- Create and maintain filing system for job & maintenance documents
- Schedule meetings as needed for Project Managers, Foreman, etc.
- Perform special projects as requested
Qualifications:
- Minimum of two years’ construction administrative assistant experience (required)
- Computer literate with proficiency in MS Office Programs (Word, Excel, etc.)
- Computer Ease Accounting Software experience a plus
- Paycor Onboarding software a plus
- Strong interpersonal skills, ability to interface at many levels and work in group settings
- Outstanding bilingual (English/Spanish) written and verbal skills (required)
- Self-motivated

Pay: $22.00 - $27.00 per hour
Expected hours: 40 per week
