Job Overview:
The HR Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.
Key Responsibilities and Essential Tasks
- Employee Development & Performance
- Administer the Company’s certification management dashboard, ensuring all employee certifications, licenses, and credentials are current and renewed in compliance with state and federal regulations.
- Upload and update training certification records promptly in the HRIS or training system, maintaining 100% data accuracy for internal and client audit readiness.
- Monitor expiration dates and send proactive renewal reminders to employees and managers.
- Total Rewards
- Coordinate and administer the Company’s birthday and anniversary recognition program to support employee engagement and retention goals.
- Maintain an accurate recognition tracker, ensuring timely announcements and distribution of recognition materials.
- Engagement
- Organize and coordinate quarterly company meetings including scheduling, materials preparation, communication to staff, and onsite logistics support.
- Support the HR team with additional event planning duties as needed.
- Employee and Labor Relations
- Update, create, and distribute required employment and safety poster packs at all company locations to ensure full regulatory compliance.
- Communicate training schedules (including WECA classes) and coordinate attendance rosters with project teams and employees.
- Manage all non–Leave of Absences (LOA) and callouts. Includes, document absences, maintain communication logs, and ensure managers and employees are informed of company attendance policies and return-to-work requirements.
- Maintain the Verizon fleet database, ensuring all current drivers are recorded, and remove inactive users in a timely manner.
- Administer the DMV pull program by entering new drivers, removing inactive employees, and reviewing pull notifications for action.
- Continuous Improvement
- Provide administrative support to Human Resource Staff as assigned.

Compensation:
Rex Moore pays hourly/salary rates commensurate with each employee’s knowledge, experience and skill level.
Work environment:
Work is performed in an office environment. This position may be required to travel to other office locations.
LOCATION:
Rex Moore and affiliated offices are located throughout California and Nevada.

Qualifications:Knowledge, Skills and Abilities
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
EDUCATION:
- High school diploma and at least two years’ experience working in an administrative role or
- Associate’s degree in related field
- Office experience preferred.
Physical Requirements:
- Ability to verbally communicate: convey detailed and accurate instructions and information.
- Ability to hear with or without correction in order to receive and interpret detailed information.
- Required to sit at a desk work station for long periods of time.
- Push, pull, lift, carry at least 10 pounds and occasionally lift/move up to 35 pounds.
- Occasionally required to walk and stand for short and long periods of time.
- Required to have visual acuity with or without correction in order to read contract documents, analyze data, view a computer monitor, and proof-read documents to identify errors.
- Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach.
- May occasionally be required to stoop, kneel, and crouch.
