Fiscal Services Technician/Payroll

GENERAL SUMMARY: Under the direction of the Fiscal Services Manager, perform a range of accounting functions in accordance with organization policies and all applicable federal and state requirements. This position provides support across payroll, accounts receivable, budget and general ledger activities, including journal entries, accruals, allocations, account analysis and reconciliations.

ESSENTIAL FUNCTIONS:

  • Prepare and submit bi-monthly payrolls for certificated and classified employees
  • Set up and adjust payroll deductions
  • Resolve discrepancies between payroll and information from other sources (i.e., benefit providers)
  • Monitor payment of employee taxes, benefits, and voluntary deductions
  • Maintain a variety of manual and electronic documents, files and/or records (e.g., employment verifications, leave, deduction and payroll information, etc.) for the purpose of maintaining an up-to-date trail for reference and ensuring compliance with established regulations.
  • Maintain cash receipts log and prepare weekly deposits
  • Code and post deposits to the general ledger
  • Prepare supporting documentation for audits
  • Assist with accounts receivable
  • Assist with year-end close – reconcile payroll clearing accounts, prepare vacation and payroll accrual entries
  • Perform related duties as assigned.

QUALIFICATIONS

Knowledge of:

  • Principles, practices and terminology of payroll, accounting and financial record keeping, preferably as they apply to California school accounting.
  • Auditing and financial research and analysis procedures.
  • Account number structure and correct use of object codes.
  • Computer-based software programs that support this level of work, including but not limited to, word processing, spreadsheet, presentation graphics, and data entry onto custom databases.
  • Data processing systems and applications in the field of payroll and accounting.
  • Financial record keeping techniques.

Ability to:

  • Apply policies and procedures to the assigned duties and responsibilities of the position.

  • Problem solve.
  • Communicate clearly, concisely and effectively in speaking, reading and writing, including professional correspondence.
  • Enter data onto standardized formats, using computerized data-based programs by basic keyboarding or 10-key skills and calculators.
  • Examine, reconcile/balance, verify, and post assigned transactions.
  • General ledger maintenance and monitoring.
  • Maintain accurate financial records.
  • Make sound decisions necessary in the function of the position.
  • Maintain consistent, punctual and regular attendance.
  • Operate a computer and assigned office equipment; use a variety of computer software programs including, but not limited to, Escape Technology, Paycom, Google Sheets, Google Forms, Google Docs, Microsoft Office, Excel, Word, and PowerPoint.
  • Pay attention to detail.
  • Plan, prioritize and organize work to meet schedules and timelines.
  • Prepare and process financial, accounting and payroll reports, documents, records, and materials.
  • Process and record accounting transactions accurately. Detect and correct errors or omissions.
  • Understand and follow oral and written instructions.
  • Use tact, patience, and courtesy.
  • Communicate and work effectively with staff, the public and outside agencies.
  • Work confidentially and exercise discretion.
  • May work an occasional evening and/ or weekend.
  • Carry out all aspects of the position professionally.
  • Multitask without errors.

REQUIRED EXPERIENCE AND EDUCATION:

Formal and informal education at a level sufficient to provide the ability to understand and perform duties comparable in complexity to those listed herein. Charter or school district business office experience preferred.

WORKING CONDITIONS: The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position will include office and school site environments.

Physical Abilities:

  • Visual acuity and depth perception to read a variety of materials and inspect work in progress.
  • Sufficient hearing to conduct conversations in person and over the telephone.
  • Normal physical strength and endurance for standing, sitting, bending, reaching, walking, and lifting and carrying of lightweight materials.
  • Hand/eye coordination and manual dexterity to keyboard 10-key, operate a telephone and business office machines.
  • Physical, mental and emotional stamina to endure long hours under sometimes stressful conditions.
  • Speaking in an understandable voice with sufficient volume to be heard in normal conversational distance and on the telephone.

  • TB Clearance

This is a 12-month role with comprehensive benefits, including 100% full coverage of base plans, medical, dental, and vision for the employee and their eligible dependents. Additional perks include 96 hours of sick pay per academic year, 12 accrued vacation days, and fully paid breaks during Spring Break, Thanksgiving break, and a 2-week winter break.

Salary : $25 - $30
