Position: Event Planner

Position Summary
The Event Planner serves as a key liaison between NAVCO and local communities to execute high-level Executive Engagement Visits (EEVs), Navy Weeks, and other distinguished visitor events across Navy operations. This role requires strategic planning, media coordination, and stakeholder engagement to support the Navy's communication and outreach objectives.
Minimum Qualifications

Primary Responsibilities
Event Planning & Coordination
- Assignment Management: Accept assignment as contract event planner for each EEV within one week of NAVCO notification (typically 4 months in advance)
- Liaison Role: Serve as primary and secondary point of contact with NAVCO Executive Engagement Department
- Local Expertise: Maintain comprehensive knowledge of local engagement opportunities and media landscape
Strategic Planning & Analysis
- Initial Planning Reports: Prepare and submit comprehensive initial planning reports within two weeks of assignment notification, including:
- Notable city, civic, academic, industry, and community highlights
- Identification of target engagement organizations and key individuals of influence
- Comprehensive local media analysis detailing trends, opportunities, and threats
- Demonstration of alignment with Navy and NAVCO strategic communication plans
Engagement Coordination
- High-Level Events: Recommend and coordinate 1-2 engagements in each category:
- Civic and government relations
- Military/veteran community
- Media relations
- Youth and education outreach
- Corporate partnerships
- General public engagement
- Executive-Level Matching: Ensure events are scheduled at appropriate levels commensurate with participating executives' rank and experience
Media Relations & Communications
- Media Engagement Planning: Develop comprehensive media engagement plans for each EEV, including:
- Local broadcast media appearances
- Print media interviews
- Strategic meeting opportunities with media attendance
- Media Coordination: Work with local media to pitch stories and distribute press releases/advisories from NAVCO
- Daily Reporting: Compile and distribute end-of-day executive summary reports with media clips during missions
Documentation & Materials
- Trip Books: Prepare comprehensive EEV trip books for senior military and civilian participants, delivered no later than two weeks prior to execution, including:
- Complete travel information and itineraries
- Local points of contact
- Speeches and talking points
- Briefings and factsheets
- Communication plans and supporting materials
On-Site Support
- Mission Execution: Provide on-scene planning and logistics support during Navy Weeks and namesake crew visits
- Real-Time Coordination: Maintain constant internal communication with NAVCO throughout events
- Quality Assurance: Ensure Navy participation is executed as planned through introductions and coordination
Reporting & Analysis
- Daily Summaries: Provide daily executive summary reports during missions
- Post-Event Analysis: Submit comprehensive after-action reports within five business days of mission conclusion, including:
- Daily summary compilation
- Overall media summary
- Media clips and impression metrics (online, social, broadcast, print)
- Performance analysis and recommendations
Special Requirements
- Security Clearance: May require appropriate security clearance level
- Travel: Extensive travel required to various Navy engagement locations
- Availability: Must be available for events scheduled 4 months in advance with potential short-notice changes
- Team Collaboration: Ability to work effectively with 3-person planning teams supporting Fleet Weeks
Performance Standards
- Consistently meet all deadline requirements (1-week assignment acceptance, 2-week planning reports, etc.)
- Maintain high-quality stakeholder relationships with Navy leadership, local officials, and media contacts
- Demonstrate measurable success in media engagement and community outreach metrics
- Ensure seamless execution of all assigned events with zero critical incidents
- Provide comprehensive, actionable reporting and analysis
Working Conditions
- Fast-paced environment with multiple concurrent projects
- Regular interaction with senior military and civilian leadership
- Coordination with diverse stakeholders including media, civic leaders, and corporate executives
- Extended hours during active mission periods
- Travel to various locations as assigned
Geographic Coverage
- Nationwide Scope: Support events across all 50 states and Washington, DC
- Non-Fleet Areas: Focus on cities and communities outside traditional Navy concentration areas
- Community Integration: Work within diverse local markets and community environments
This position is part of a Navy communications contract supporting strategic outreach and engagement operations across multiple locations and stakeholder groups.
Job Type: Full-time
Pay: $52,000.00 - $62,000.00 per year
