Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. Bilingual skills are a plus, as well as experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems. The Office Assistant will play a vital role in maintaining an efficient office atmosphere and supporting various administrative duties.
Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry, filing, and proofreading to ensure accuracy of documents and records
- Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks or similar software
- Support office management activities including organizing supplies and maintaining office equipment
- Provide customer support via phone, email, or in person with excellent phone etiquette
- Handle administrative tasks such as typing correspondence, managing files, and supporting clerical duties
- Coordinate appointment scheduling for medical or dental receptionists if applicable
- Contribute to a positive office environment through effective organizational skills and time management
Requirements
- Proven office experience with strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent computer literacy including data entry, proofreading, and document management
- Strong communication skills with professional phone etiquette; bilingual abilities are a plus
- Prior experience in front desk or receptionist roles such as medical or dental reception is advantageous
- Ability to manage calendar schedules efficiently and handle multiple priorities simultaneously
- Clerical experience including filing, proofreading, and administrative support tasks
- Demonstrated customer service skills with a friendly demeanor and problem-solving ability

Pay: $10.00 - $12.75 per hour
