Practice Manager, Wealth Management Operations
Location: Melville, NY | In-office
Schedule: Full-time | Monday to Friday in the office, with occasional work-from-home flexibility
Compensation: $110,000 to $140,000 base salary, depending on experience | Bonus potential | Profit-sharing eligibility
About the Role
Our client, an established and growing wealth advisory firm in Melville, NY, is hiring an experienced Practice Manager to oversee daily operations, support the leadership team, coordinate internal workflows, and help ensure the firm continues to run smoothly as it grows. This is a senior operational role within a small, high-touch wealth management practice and is ideal for someone who brings strong executive support, team coordination, process improvement, client service judgment, and financial services operations experience.
This person will serve as a key right-hand to firm leadership and help manage the behind-the-scenes structure that allows advisors, client service team members, and leadership to do their best work. The Practice Manager will be responsible for anticipating needs, improving systems, keeping priorities organized, and ensuring client, advisor, team, and operational workflows move forward with consistency and care.
What You’ll Do
- Oversee the firm’s day-to-day operations, creating the structure and consistency needed for the office, team, and client service functions to run smoothly
- Partner closely with firm leadership to translate priorities into action, keep important initiatives moving forward, and ensure strong communication and follow-through across the practice
- Strengthen collaboration across the firm and with external partners, helping information move efficiently and ensuring responsibilities are clearly understood and completed
- Design and improve the systems and processes that support the business, identifying inefficiencies and implementing practical solutions that make the team more organized, effective, and consistent
- Promote accountability and strong team performance by helping employees manage competing priorities, stay aligned around deadlines, and receive the support and training needed to succeed
- Help maintain strong client service standards by overseeing onboarding, meeting preparation, follow-up, internal handoffs, documentation, and other client experience touchpoints
- Provide high-level support to firm leadership by anticipating needs, organizing important information, preparing for meetings, tracking commitments, and managing special projects
- Maintain the operational infrastructure of the firm, ensuring its records, technology, vendor relationships, and compliance-sensitive materials are organized and managed with care
- Bring sound judgment, professionalism, and calm execution to a fast-moving environment where priorities may shift and attention to detail is essential
What We’re Looking For
- 7 years of experience in practice management, operations, executive support, or client service leadership within wealth management, financial services, insurance, or a similar professional environment
- Proven ability to support senior leaders in a fast-paced, high-touch setting while anticipating needs, exercising sound judgment, and keeping priorities on track
- Experience improving workflows, managing projects, and creating the structure needed for a team to operate efficiently and consistently
- Strong understanding of client service, professional communication, discretion, responsiveness, and follow-through
- Highly organized and detail-oriented, with the ability to balance broader business priorities with day-to-day execution
- Confident coordinating across internal teams, clients, vendors, and financial services partners to ensure clear communication and timely follow-through
- Warm, direct, and professional communication style, with the ability to serve as a trusted partner to firm leadership
- Proactive, flexible, and comfortable taking ownership in a small-team environment where responsibilities may evolve
- Wealth management operations experience is strongly preferred, including familiarity with account servicing, client onboarding, insurance or annuity workflows, compliance documentation, or advisor support
- Experience with Redtail, Black Diamond, Cetera, custodial platforms, or similar wealth management technology is a plus
- Bachelor’s degree preferred, though substantial relevant experience will also be considered
