Revive Medical Spa, LLC is seeking a polished, service-driven Client Care & Scheduling Coordinator to join our Dermatology-Led Aesthetics team.
Operating alongside Advanced Dermatology & Skin Cancer Center, PLLC, Revive Medical Spa delivers results-driven aesthetic treatments within a medically directed environment. Position Overview
The Client Care & Scheduling Coordinator serves as the primary point of contact for clients and prospective clients by phone, text, email, and other communication channels. This role is responsible for delivering an exceptional client experience while coordinating appointments, answering questions, educating clients on services, and supporting practice growth through effective scheduling and relationship-building.
The ideal candidate is personable, highly organized, sales-minded, and passionate about helping clients navigate their aesthetic journey.
Key Responsibilities
Client Experience & Communication
- Answer inbound calls promptly with a professional, friendly, and knowledgeable approach
- Manage high volumes of inbound and outbound calls, texts, emails, and other client communications
- Serve as a brand ambassador by delivering a consistent, elevated client experience
- Build meaningful relationships with clients and prospective clients through personalized communication
- Identify client needs, answer questions, and provide accurate information regarding treatments, services, products, policies, and pricing
- Assist prospective clients in selecting appropriate consultations and services based on their goals
- Address client concerns professionally and escalate issues when appropriate
- Follow communication protocols and scripts while maintaining a natural, personalized interaction
- Maintain confidentiality and professionalism in all client interactions
Scheduling & Practice Support
- Schedule, reschedule, confirm, and optimize appointments across multiple providers and locations
- Maximize provider schedules through strategic appointment placement and waitlist management
- Conduct appointment confirmations and follow-up communications
- Accurately document client communications and interactions within practice software systems
- Maintain accurate records and ensure database integrity
- Coordinate with providers and team members to support efficient daily operations
- Support practice initiatives, promotions, and special events
- Attend meetings, trainings, and educational events as required
Growth & Performance
- Identify opportunities to recommend services, memberships, products, and future treatments when appropriate
- Support client retention through relationship-building and proactive communication
- Assist with practice growth initiatives and marketing campaigns as directed
- Continuously expand knowledge of aesthetic treatments, skincare products, and practice offerings

Qualifications
- High school diploma required; some college preferred
- Minimum one year of customer service, scheduling, sales, hospitality, call center, medical office, or spa experience preferred
- Proven ability to provide exceptional customer service
- Experience managing multiple communication channels and priorities
- Computer proficiency required
- Familiarity with aesthetic, dermatology, cosmetic, wellness, or medical spa services preferred
- Bilingual a plus
Physical Requirements
- Ability to sit, stand, and work at a computer and phone for extended periods
- Ability to use standard office equipment, including computers, phones, and headsets
- Ability to occasionally lift or carry office supplies and promotional materials
