The Role

The Office Manager is the operational leader of the practice and the doctor's right hand on the business side. You will own the day-to-day running of the office so the clinical team can focus on patient care: finances, vendors, compliance, payroll and HR administration, and the systems that keep a surgical schedule running smoothly. We are honest about the scope: we are a small founding team of five, so this is a build role, not a caretaker role — you will create the processes, tools, and culture from scratch, and your authority and team will grow as the practice does. This is primarily an administrative leadership position, with occasional clinical or front-desk backup as needed during busy periods. If you want ownership, autonomy, and the chance to build the systems of a growing practice rather than inherit someone else's, this is a rare opportunity.

What You'll Do

  • Lead daily operations — open/close procedures, patient flow, team coordination, and problem-solving
  • Own HR administration: onboarding, payroll coordination, scheduling, personnel records, performance management, and — as we grow — recruiting and hiring
  • Manage practice finances: oversee accounts payable/receivable, patient collections, daily reconciliation, payroll coordination, and financial reporting to the doctor
  • Manage vendor and supplier relationships, including equipment, dental supplies, and service contracts
  • Oversee the front desk and patient coordination team; step in to support scheduling, calls, and patient experience as needed
  • Maintain compliance with OSHA, HIPAA, and NC Board of Dental Examiners requirements; keep policies, certifications, and documentation current
  • Administer the practice's third-party financing relationships (CareCredit, Cherry, Proceed Finance) and monitor patient payment workflows
  • Manage practice management software (Oryx) administration, reporting, and team training
  • Track and report on key practice metrics: production, collections, case acceptance, scheduling efficiency, and overhead
  • Help develop and refine the systems, protocols, and culture of a brand-new practice
  • Provide occasional clinical or administrative backup during peak times or absences

What We're Looking For

Required:

  • 3 years of dental or medical office management experience
  • Demonstrated experience in HR functions: hiring, onboarding, and managing a team
  • Strong financial literacy — comfortable with budgets, collections, reporting, and basic bookkeeping concepts
  • Excellent organization, communication, and problem-solving skills
  • Proficiency with computers and the ability to learn and administer practice management software
  • A self-starter who thrives with autonomy and can build process where none yet exists

Preferred:

  • Dental practice management experience, especially in a fee-for-service, implant, oral surgery, or other out-of-network practice
  • Familiarity with dental compliance (OSHA, HIPAA, NC dental regulations)
  • Experience with cloud-based practice management software (Oryx a plus)
  • Experience with third-party patient financing platforms (CareCredit, Cherry, Proceed Finance)
  • Experience opening or scaling a new practice or business location
  • Bilingual (English/Spanish) is a plus given our patient base

Pay: $65,000.00 - $80,000.00 per year
