Let’s talk.This role is based in our Chicago headquarters office, with a hybrid work schedule.Job Description:RPA’s Executive Assistant / Office Manager supports the firm’s CEO and Leadership Team while ensuring the smooth day-to-day operations of our Chicago headquarters office and supporting our Jefferson City, MO office.This role calls for a team player who thrives in a fast-paced environment, manages shifting priorities with ease, and represents the firm with professionalism both in person and over the phone.Beyond executive support, the position encompasses office management responsibilities such as coordinating with building management, ordering supplies, planning events, and contributing to project-based initiatives.The ideal candidate is highly organized, and adept at juggling a wide range of administrative and executive support tasks. We’re looking for a self-directed and flexible problem-solver, and someone who embraces the challenges and rewards of working in a close-knit, entrepreneurial office environment.Primary Responsibilities:Executive Support Functions:Manage complex calendaring for CEO and C-Suite, often involving multiple parties and time zonesCoordinate internal and external in-person meetings and events, including firm’s annual three-day conferenceMake travel arrangements for CEO, including flights, hotels, rental cars, and other supporting reservationsProvide administrative support for CEO, including expense reports and tracking regulatory requirements and deadlinesProofread and fact-check documentsPerform additional duties as neededOffice Manager Functions:Serve as firm liaison with building management, third-party IT vendor, phone system/web conference provider, copier maintenance support, etc.Oversee office operations, including ordering supplies and office equipment to ensure a functional and comfortable workspaceManage office mail and packagesPerform additional duties as neededQualifications & Experience:Five or more years of related work experienceExceptional planning, organizational, and time management skills, with the ability to anticipate CEO needs, prioritize competing demands, meet deadlines, and follow through with responsiveness and accuracyStrong interpersonal skills, with a proven ability to collaborate with colleagues, clients, and external partnersDemonstrated initiative and sound judgment, operating independently while adhering to established policies and proceduresStrong writing and proofreading skillsProficiency in Microsoft Office suiteCollege degree preferredTo Be Considered:Please submit your resume, along with a cover letter explaining your interest in RPA and the supporting traits you bring to the team.
