Essential functions:

1. Staff Management:
- Participates in Human Resources related functions, including employee acquisition (interviewing and hiring) talent management (training, performance reviews, disciplinary actions), and timekeeping/attendance. Partners with HR as needed.
- Delegates responsibilities to employees to perform while enforcing all policies, procedures, standards, specifications, guidelines, training programs, and cultural values.
- Organizes, manages, coordinates all operational and administrative processes. Manages support staff and organizes and oversees clinic schedules and assignments to meet operational needs.
- Leads huddles and hosts staff meetings to communicate updates and dialogue with team on a frequent basis.
- Provides effective leadership and resolves internal staff conflicts efficiently and to the mutual benefit of all involved fostering team member engagement and a positive work environment.
2. Financial Management:
- Developing and managing budgets and financial models for the practice aiming for minimum expenditure and efficiency.
- Function as liaison between managing partners, insurance companies, patients and referring physicians.
- Overseeing billing processes and accounts receivable and ensuring accurate compliant financial records and reporting.
3. Operational Management:
- Managing patient flow and scheduling appointments and adjusting doctors schedules to ensure optimal staffing levels.
- Ability to perform front office and back office duties if needs arise to ensure smooth clinical operations.
- Maintaining patient records and ensuring data security.
- Overseeing inventory for medications and medical equipment and ordering supplies. Troubleshooting equipment issues and coordinating maintenance.
- Works to ensure strict compliance with State, Federal, and other regulations (such as OSHA, HIPAA, DHS, Hr policies and practices).
4. Patient Relations:
- Handling patient inquiries, complaints, and concerns and serves as a point of contact for patient to resolve concerns in a timely, respectful and professional manner.
- Ensuring a positive patient experience and providing quality care by partnering with doctors and clinical staff to create an accountable environment where patient care comes first.
5. Referring Provider Relations
Handling referring provider inquiries, complaints, and concerns and serves as a point of contact for referring provider to resolve concerns in a timely, respectful and professional manner.
- Ensuring a positive referring provider experience and providing quality care by partnering with doctors and clinical staff to create an accountable environment.
Experience:
Previous experience in ophthalmology and medical office setting as an office manager is preferred.
Familiarity with office equipment and phone systems.
Strong time management with ability to prioritize tasks effectively.
Work Environment:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, handle, or feel, reach with hands and arms, see, talk, and hear. The employee will frequently lift and/or carry reports, records and other material that typically weigh less than 20 pounds. The employee is occasionally required to stoop, kneel, bend, or crouch.
This is primarily an office classification. Temperature conditions are controlled with limited direct exposure to hazardous physical substances. The noise level in the work environment is usually low to moderate. There is occasional exposure to irate staff, vendors or patients.
Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, calculator, and other standard office equipment.
Reports to managing partners.
