Scale: 10 Locations (3 Main, 7 Satellite)
Provider Team: 10 Doctors (3 Senior Partners, 3 Associates, 4 Part-Time)
Total Staff: 60 Employees
Base Compensation: $300,000
Position Summary
The COO is responsible for the overall operational performance of the medical practice, including clinical operations, business operations, and administrative functions across all locations. This role partners closely with physician leadership to ensure efficient patient care delivery, strong financial performance, regulatory compliance, and a high-quality patient experience.
With 10 locations and a high-volume surgical/injectable practice, the COO is responsible for standardizing clinical workflows, managing high-cost pharmaceutical inventory (Anti-VEGF), and optimizing the revenue cycle across a geographically dispersed network. This role oversees practice operations including clinic flow, surgical coordination, staffing, revenue cycle, facilities, and technology while driving strategic growth initiatives such as provider recruitment, service expansion, and operational efficiency.
Key Responsibilities
- Clinical & Practice Operations
- Direct day-to-day operations of clinic sites, surgical scheduling, and ancillary services.
- Optimize patient flow, provider schedules and clinic efficiency across 3 hubs and 7 satellites to ensure consistent quality and wait times.
- Ensure coordination between physicians, technicians, surgical coordinators, and administrative staff.
- Monitor operational metrics such as patient volumes, provider productivity, wait times, and clinic throughput.
Revenue Cycle & Financial Performance
- Full P&L responsibility.
- Manage high-value drug procurement (Avastin, Eylea, Vabysmo) and maximize manufacturer rebates.
- Oversee revenue cycle operations including billing, coding, collections, and reimbursement optimization. Monitor key financial metrics such as charge capture, denial rates, and days in accounts receivable.
- Partner with leadership to develop budgets, forecasts, and cost control initiatives.
- Identify operational improvements that enhance profitability and efficiency.
Strategic Growth & Development
- Partner with physician leadership on strategic planning and practice growth initiatives.
- Lead implementation of new service lines, clinic expansions, and new provider onboarding.
- Support marketing and referral relationship development with community providers.
- Lead physician recruitment.
- Evaluate the ROI of satellite locations.
Regulatory Compliance & Risk Management
- Ensure practice compliance with healthcare regulations including HIPAA, OSHA, Medicare/CMS, and applicable state requirements.
- Maintain readiness for regulatory audits and accreditation requirements.
- Oversee implementation of policies, procedures, and internal controls.
Leadership & Staff Development
- Provide leadership and oversight for department managers including clinic management, revenue cycle, HR, and administrative teams.
- Promote a positive workplace culture focused on patient care, accountability, and teamwork.
- Support leadership development among managers and supervisors.
Technology & Infrastructure
- Oversee implementation and optimization of EMR/EHR systems, practice management software, and clinical technology.
- Coordinate with IT vendors and internal staff to ensure operational continuity.
- Evaluate technology improvements that enhance patient care and operational efficiency.
Qualifications
Education
- Bachelor’s degree in Healthcare Administration, Business Administration, or related field required
- Master’s degree (MBA, MHA, or similar) preferred
Experience
- 10 years in healthcare; 5 years in multi-site specialty management (Retina/Ophtho preferred) Experience managing high-cost drugs is required
- 5 years in senior leadership within a medical practice or ambulatory care environment
- Experience managing multi-location practices and physician groups preferred
Knowledge & Skills
- Strong knowledge of medical practice operations and revenue cycle management
- Understanding of clinical workflow in specialty practices
- Experience with EHR and practice management systems
- Strong leadership, communication, and organizational skills
- Financial and operational analytical skills
