Front Office CoordinatorPosition Summary
The Front Office Coordinator at Retina Associates, P.A. is a non-exempt employee who serves as one of the first points of contact for our patients. This position plays a vital role in creating a welcoming and professional experience while ensuring efficient patient flow throughout the practice. The Front Office Coordinator is responsible for scheduling appointments, registering patients, verifying information, collecting payments, and providing exceptional customer service to every patient and visitor.
Schedule
The Front Office Coordinator's typical schedule is Monday through Friday during normal business hours. Hours may vary based on clinic needs, physician schedules, satellite clinic coverage, or patient volume. Occasional overtime may be required.
Primary Responsibilities
- Greet patients and visitors in a friendly, professional manner
- Answer incoming phone calls and direct calls appropriately
- Schedule, reschedule, and confirm patient appointments
- Register new patients and update demographic and insurance information
- Verify insurance eligibility and obtain referrals or authorizations when applicable
- Check patients in and out efficiently while maintaining accuracy
- Collect co-pays, deductibles, balances, and other patient payments
- Balance daily cash drawer and payment collections
- Scan and upload required documents into the electronic medical record (EMR)
- Maintain patient confidentiality in accordance with HIPAA regulations
- Communicate appointment instructions and answer general patient questions
- Coordinate with technicians, physicians, and other team members to ensure smooth patient flow
- Assist patients with forms and paperwork as needed
- Maintain an organized and professional reception area
- Perform other front office duties as assigned
Additional Duties
The following duties may be assigned as needed and are subject to change:
- Assist with medical records requests
- Prepare daily patient schedules
- Contact patients regarding appointment reminders or scheduling changes
- Assist with office projects and administrative tasks
- Cross-train in other front office responsibilities
- Provide coverage for satellite clinics when needed
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent required
- Previous medical office or customer service experience preferred
- Ophthalmology or retina experience is a plus but not required
- Strong computer and data entry skills
- Excellent communication and interpersonal skills
- Ability to multitask in a fast-paced environment
- Strong attention to detail and organizational skills
- Professional appearance and positive attitude
- Ability to work independently and as part of a team
Physical Requirements
- Ability to sit and stand for extended periods
- Ability to communicate effectively with patients, physicians, and team members
- Ability to occasionally lift up to 25 pounds
- Ability to manage a fast-paced workload while maintaining accuracy

Based on the current job duties and assigned responsibilities, this position is deemed Safety-Sensitive as defined by Act 593 of 2017.
Pay: $18.80 - $21.00 per hour
