You’ll be the connective force between clients, technicians, and project managers—keeping projects running smoothly and customers feeling supported every step of the way.
What You’ll Do
Be the Voice & First Impression of the Company
- Answer incoming calls with a friendly, helpful attitude.
- Guide new clients through the loss‑intake process:
- Gather accurate details
- Ask smart qualifying questions
- Generate service agreements
- Dispatch technicians
- Create client/job profiles in the CRM
- Keep Project Managers up-to-date on new losses
Keep Projects Moving & Teams Aligned
- Support Project Managers and office staff with:
- Adding notes in job files from calls, texts, and emails
- TPA documentation
- AOB notifications
- Daily timesheet accuracy checks
- Other administrative tasks as needed
- Smoothly transition claims between phases (Mitigation → Rebuild, Mitigation → Contents, etc.)
- Create new job files for additional services
- Share scopes and documentation with the next team
Solve Problems Before They Become Problems
You’ll help identify and remove roadblocks such as:
- Missing deposits
- Delayed asbestos testing
- No‑show subcontractors
- Clients unavailable at appointment time
- And anything else that could slow down progress
Be the Hub of Communication
- Coordinate with vendors, project managers, and customers.
- Collect material selection sheets.
- Provide timely project updates to Project Managers.
- Build the daily project schedule.
- Communicate appointments to clients via phone, text, or email.
- Ensure crews are ready for new losses each day.
- Update schedules when changes occur and notify technicians and clients.
- Track vehicle assignments and drivers.
- Confirm deposits when required.
Own Compliance & Documentation
- Maintain accurate job files.
- Monitor cycle times and flag risks (e.g., upcoming TPA deadlines).
- Generate and track Change Orders.
- Assist with material purchases and delivery scheduling.
- Facilitate warranty and satisfaction surveys.
Additional Responsibilities
- Maintain organized project files.
- Participate in After‑Hours On‑Call rotation and Surge Events.
- Attend company meetings.
Qualifications
- Experience in the Restoration industry preferred
- Excellent verbal and written communication skills
- Strong clerical and computer skills (Microsoft Office)
- Organized and detail-oriented
- Excellent time management skills with the ability to prioritize multiple tasks effectively
Pay: From $25.00 per hour
