Office Manager / Practice Administrator – Pulmonary, Sleep & Asthma (On-Site)

Position Overview
We are seeking a highly organized and experienced Office Manager / Practice Administrator to oversee the clerical and administrative operations of a large pulmonary, sleep, and asthma practice in Wyomissing, PA. This is a hands-on leadership position responsible for front-office operations, scheduling, health information management, prior authorizations, and billing coordination. The role reports directly to and works closely with the CEO, supporting operational performance, workflow efficiency, and staff management. Clinical experience is a plus, particularly in pulmonary or sleep medicine.
Key Responsibilities
· Oversee daily administrative and clerical operations of the practice
· Directly manage front desk, scheduling, billing, health information management, and prior authorization teams
· Work closely with the CEO on operational planning, performance improvement, and administrative initiatives
· Ensure efficient patient scheduling, registration, and check-in/check-out workflows
· Oversee insurance verification, referrals, and prior authorization processes
· Coordinate with billing staff on charge capture, claims workflows, and issue resolution
· Maintain compliance with HIPAA, regulatory standards, and internal policies
· Train, coach, and evaluate administrative staff
· Serve as the escalation point for administrative and patient-flow issues
· Identify and implement workflow and process improvements
Qualifications
· 3–5 years of medical office or practice management experience
· Demonstrated experience overseeing front desk, scheduling, billing, and prior authorization functions
· Pulmonary, sleep medicine, or asthma practice experience strongly preferred
· Clinical background or hands-on clinical experience is a plus
· Experience with Medent PM/EMR preferred
· Working knowledge of health information management (HIM) processes
· Strong leadership, communication, and problem-solving skills
· Ability to work closely with executive leadership in a fast-paced outpatient environment
Work Environment
This is a fully on-site position in a large, multi-provider outpatient specialty practice. The role involves close collaboration with physicians, clinical staff, and executive leadership. This position is not remote or hybrid.
