Job Title: Accounting & Payroll Specialist

Job Summary
The Accounting & Payroll Specialist is responsible for managing day-to-day accounting operations and processing accurate, timely payroll for ADAboy, Inc. This role reports to the General Manager with a dotted-line relationship to the Owners and partners closely with leadership on financial reporting, payroll administration, and system implementation. The position plays a key role in maintaining financial integrity, payroll compliance, and confidentiality while supporting the implementation and ongoing use of the Striven ERP system and ADP Workforce Now.
Key Responsibilities
Accounting & Financial Operations
- Maintain general ledger accuracy, including journal entries, account reconciliations, and month-end close activities.
- Prepare and support financial reports such as profit and loss statements, balance sheets, cash flow reports, and supporting schedules.
- Manage accounts payable and accounts receivable processes, including invoice review, payment processing, and customer billing support.
- Assist with budgeting, forecasting, and financial analysis for leadership.
- Ensure compliance with GAAP, internal accounting controls, and company policies.
- Support audits and provide required documentation and reconciliations.
Payroll Administration (ADP Workforce Now)
- Process payroll accurately and on schedule using ADP Workforce Now.
- Review and validate timekeeping, pay changes, bonuses, deductions, reimbursements, and payroll adjustments.
- Ensure compliance with federal, state, and local payroll tax requirements, garnishments, and benefit deductions.
- Support year-end payroll activities including W-2 review and reconciliation.
- Respond to employee payroll-related questions in a professional and confidential manner.
ERP Implementation & Systems
- Support the implementation, configuration, and ongoing optimization of the Striven ERP system.
- Maintain accurate financial and payroll data across systems; ensure data integrity between Striven and ADP.
- Document accounting and payroll processes and recommend workflow and system improvements.
Confidentiality & Compliance
- Handle all financial, payroll, and employee information with the highest level of confidentiality and discretion.
- Protect sensitive company and employee data in compliance with privacy, security, and record retention policies.
- Adhere to internal controls and segregation of duties to reduce risk and ensure accuracy.
This position requires the highest level of trust, integrity, and confidentiality due to access to sensitive financial, payroll, and employee data.
Qualifications / Skills
- 3 years of accounting experience with payroll processing responsibility.
- Experience with ADP Workforce Now or similar payroll systems preferred.
- ERP experience required; Striven experience or implementation exposure is a plus.
- Solid understanding of general accounting principles and payroll compliance.
- Strong attention to detail and ability to manage deadlines.
- Proficiency in Excel and financial reporting tools.
- Professional, dependable, and discreet when handling sensitive information.
- Strong communication skills and ability to work cross-functionally.
Working Conditions / Schedule
- Primarily office-based role with standard business hours.
- Occasional extended hours during payroll processing, month-end close, or ERP implementation milestones.
Monday-Thursday 8:00a.m.-5:00p.m.
Friday 6:00a.m.-3:00p.m.
