Job Title: Data Entry & Processing Specialist

Position Summary

The Data Entry & Processing Specialist will support processing, organizing, quality-checking, and preparing data for use in Direct Implementation Management Environment (DIME) and related program records. DIME is used to track critical drinking water compliance information and support quarterly reporting to SDWIS. This role is responsible for preparing electronic data deliverables, managing laboratory report files, supporting quality assurance review, and producing data outputs in accordance with protocols, SOPs, and Data Manager direction. Outputs must be provided weekly.

 

Responsibilities

  • Process and prepare monitoring data.
  • Rename laboratory reports using standardized naming convention.
  • Prepare electronic data deliverables (EDDs) using provided Excel templates.
  • Conduct QA checks on at least 30% of each report type, including chemical and biological monitoring.
  • File processed reports to the designated Microsoft Teams site.
  • Address quality assurance issues identified in quarterly QA error logs.
  • Follow program protocols, desk procedures, training materials, and SOPs for data submittal management and data maintenance.
  • Evaluate and properly prepare compliance data and maintain it as an EDD document.
  • Conduct occasional phone calls and correspondence with drinking water systems and laboratories regarding QA issues and missing data.
  • Maintain official records properly and delete outputs and associated documents per policy.
  • Identify opportunities to improve or automate manual data-entry processes to increase speed and accuracy.

Required Experience

  • Experience performing high-volume data entry, data processing, document review, or records management in a deadline-driven environment.
  • Experience using Microsoft Excel templates to enter, validate, organize, or prepare structured data.
  • Experience working with standardized file naming conventions, shared file repositories, and Microsoft Teams or similar collaboration/file management platforms.
  • Ability to read and interpret laboratory reports, forms, tabular data, or other technical records.
  • Ability to follow detailed SOPs, desk procedures, training materials, and QA/QC instructions.
  • Strong attention to detail and ability to identify inconsistencies, missing information, and data quality issues.
  • Ability to communicate professionally.
  • Ability to meet recurring daily, weekly, quarterly, and processing timelines.

Education Requirements

· Minimum: High school diploma or GED with relevant data processing, administrative, records management, laboratory data, or environmental program support experience.

Knowledge, Skills, and Abilities

  • Advanced attention to detail and data accuracy.
  • Proficiency with Microsoft Excel and electronic file organization.
  • Ability to learn program procedures quickly.
  • Ability to manage multiple daily report assignments and track completion status.
  • Strong written and verbal communication skills.
  • Ability to protect and properly manage official records.
  • Ability to work independently while coordinating closely with Data Manager and contractor leadership.

Performance Expectations

The successful candidate must be able to support daily assignment of reports, provide completed outputs within 10 business days, submit outputs on a rolling basis, support quarterly reporting deadlines, and maintain data quality through required QA checks. The role requires sustained productivity, accuracy, and schedule discipline.

Salary : $40,000 - $45,000
