Responsibilities
- Maintain and update the leadership team’s calendar
- Set clear expectations for the executive's daily schedule each morning
- Communicate all scheduling details to internal and external stakeholders
- Act as a central point of contact, managing incoming calls and messages
- Qualify incoming vendor and direct inquiries appropriately acting as “gatekeeper”
- Organize and schedule appointments, meetings, and tasks using Leap CRM
- Prepare reports and documents for meetings and presentations
- Assist in collecting and organizing data for executive decision-making
- Create and format documents, reports, and presentations
- Plan and coordinate company events, conferences, and seminars
- Handle logistics for events, including scheduling, venue selection, and catering
- Manage flight and hotel bookings for events for the leadership team
- Ensure events run smoothly and efficiently
- Manage multiple tasks and projects simultaneously
- Coordinate task efforts among different teams and stakeholders
- Ensure projects are on track and deadlines are met
- Follow up on action items to ensure completion
- Safeguard sensitive information, documents, and discussions
- Handle confidential data and communications with the utmost discretion
- Ensure that proprietary and confidential information is not disclosed to unauthorized individuals
- Assist with various administrative tasks
- Manage phone systems and answering service software
- Assist with various marketing initiatives e.g., creative, digital, print, etc.
- Task Management: Proven ability to manage multiple tasks simultaneously
- Time Management: Self-discipline to create and adhere to a well-structured daily schedule
- Communication: Articulate verbal and written communication skills
- Software Proficiency: Knowledge of relevant software applications, including full suite of MS Office and Google Drive
