What are the responsibilities and job description for the Medical Office Manager position at Republic Spine and Pain?

Looking for an experienced Medical Office Administrator.

Best candidate must be professional, very organized, detail oriented, able to multi-task, quick learner and reliable. Experience in social media marketing and excel preferred.

Some duties include but are not limited to:

  • Manages providers’ needs. Check in with all providers every Tuesday/Wednesday how their week is going and how they can help.
  • Checks mailbox every day .
  • Checks mid level buckets routinely to check no one is behind
  • Sets provider schedules in Athena and their PTO
  • Handles all insurance credentialing
  • Onboarding new providers
  • Pays all bills for all clinics ( weekly )
  • Manages building maintenance needs.
  • Sorts, Opens mail and distributes accordingly
  • Processes all checks and makes deposits
  • Takes care of celebrating provider birthdays and anniversaries
  • Corresponds with Athena regarding big picture clinic issues
  • Confirms Surgery schedule on Mondays, Wednesdays and Fridays
  • Leads monthly provider meeting and creates agenda
  • Submit any applications on behalf of the providers and make sure they stay updated on all necessary documentation, i.e. Medical license, DEA, BCLS, malpractice insurance etc.
  • Performs yearly reviews for NPs & PAs
  • Meets regularly with both SSC managers regarding any necessary changes to clinic processes
  • Collaborate with physicians to develop business strategies and patient services
  • Ensure policies and best practices are up to industry standards and government regulations
  • Submit documentation for Medicare audits
  • Oversee all necessary paperwork and inspections for clinic based anesthesia and radiation
  • Confirm biweekly payroll hours and reimbursement requests for providers
  • Coordinate zoom meetings for Doctors when requested
  • Make edits to brochure and business cards on InDesign
  • Post remittance for EOBs that come through the mail
  • Send daily email to SSC with scheduled clinic procedures
  • Maintain updates to employee handbook and emergency protocol
  • Manage health insurance benefits for all employees
  • Stay updated on MIPs quality measurements on Athena and ensure all doctors are compliant
  • Notarize all affidavit requests
  • Attend weekly patchRX meetings and coordinate between clinic, providers, nurses and patchRX billing team

Job Type: Full-time

Pay: $27.00 - $36.00 per hour

Schedule:

  • Monday to Friday
  • No weekends

Experience:

  • Medical: 2 years (Required)
