Rental Heroes Property Management, LLC
Orlando, FL Full Time
POSTED ON 10/21/2026
AVAILABLE BEFORE 2/17/2027

Job Overview

We are looking for a friendly, organized, and dependable Assistant Property Manager to join our team and assist with the daily operations of a condominium association in Central Florida.

This is a customer-service-focused position where you will work closely with the Community Association Manager (CAM), assist homeowners with their questions and concerns, handle administrative tasks, and help keep the Association's daily operations running smoothly.

The ideal candidate is someone who enjoys working with people, communicates well, stays organized, and can handle multiple tasks throughout the day. You should be comfortable dealing with different personalities, resolving concerns professionally, and following through on assignments.

Excellent customer service experience is our number one priority. Previous condominium or HOA management experience is a plus, but we are willing to train the right person who has a strong customer service and administrative background.

Responsibilities

  • Assist the Community Association Manager with daily condominium association operations and administrative duties.
  • Provide excellent customer service to homeowners, residents, and visitors, both in person and over the phone.
  • Answer calls, respond to emails, and address homeowner questions and concerns in a professional and timely manner.
  • Assist homeowners with Association procedures, forms, applications, and online portal requests.
  • Monitor and process homeowner requests through AppFolio or other property management software.
  • Handle complaints and difficult conversations with patience, professionalism, and good judgment.
  • Assist with Association rule enforcement, including documenting violations, preparing notices, and tracking compliance.
  • Review and process Association applications, resident registrations, parking permits, and access requests.
  • Maintain accurate homeowner records, correspondence, and Association documents.
  • Prepare letters, notices, reports, and other administrative documents as needed.
  • Assist with Board meetings, including preparing meeting packets, notices, attendance sheets, and other materials.
  • Receive and document maintenance concerns and forward them to the Maintenance Supervisor for handling.
  • Communicate maintenance updates and notices to homeowners as directed by management.
  • Assist with routine property inspections and report concerns to the CAM.
  • Track pending requests and follow up to make sure assigned tasks are completed.
  • Work closely with the CAM and other team members to maintain an organized and professional office environment.
  • Perform general administrative duties, including data entry, filing, scheduling, and document management.

Qualifications & Experience

  • Strong customer service experience is required. Must be comfortable working directly with customers, answering questions, handling complaints, and resolving concerns.
  • Proficient in Microsoft Office, including Word, Excel, and Outlook.
  • Excellent verbal and written communication skills.
  • Friendly, approachable, and professional personality.
  • Strong organizational skills with the ability to multitask and prioritize daily responsibilities.
  • Ability to remain calm and professional when dealing with difficult situations.
  • Good problem-solving skills and attention to detail.
  • Dependable, punctual, and able to work independently with minimal supervision.
  • Experience in an office, administrative, customer service, or property management position.
  • Comfortable learning and working with property management software such as AppFolio.
  • Previous condominium association or HOA management experience preferred, but not required.
  • Bilingual English/Spanish is a plus.

What We're Looking For

We are looking for someone who takes pride in providing great customer service, enjoys helping people, and understands the importance of following through.

The right candidate should be able to manage a busy office environment, stay organized, work well with others, and know when a situation needs to be brought to management's attention.

Experience is important, but so is having the right attitude, being dependable, and treating people with respect.

Additional Responsibilities

This position may occasionally require the Assistant Property Manager to be available on-call in the event the Community Association Manager is unavailable. This is expected to be infrequent and would primarily involve responding to urgent matters and communicating with the appropriate personnel. A company phone will be provided.
