POSITION SUMMARY
The Associate II, Fund Administration, is responsible for promptly and precisely opening and maintaining all new donor-advised funds (DAF). The position reports to the Associate Director II, Fund Administration and complies with established procedures to accurately prepare all investment account paperwork and precisely record all data in multiple CRM systems. This position requires communication with financial professionals and their associates to obtain the information required to open new donor-advised funds, as well as their accompanying investment accounts.
ESSENTIAL RESPONSIBILITIES
- Follow established standards, timelines, and procedures to properly open new DAF.
- Work as a liaison with the Office of Business Development and Office of Business Oversight teams to ensure accurate opening and maintenance of funds.
- Collaborate with financial professionals/associates to acquire information, assess submitted DAF applications, and complete investment account paperwork.
- Collaborate with authorized signers to obtain signatures on investment account paperwork.
- Ensure that all DAF and investment account information and their statuses are up to date within AEF’s data management & CRM systems.
- Request and verifies investment account login information and adds it to the aggregation software according to each custodian's process.
- Assist in obtaining online access to open investment accounts.
- Monitor and update data in financial management system.
- Provide a best-in-class service by making outbound and responding to inbound calls and email correspondence from financial professionals and associates regarding paperwork and requests related to the donor advised fund and investment account.
- Complete other duties and projects as assigned by the Associate Director II, Fund Administration.
SKILLS AND QUALIFICATIONS
- Associates degree required, Bachelors degree preferred
- 3 or more years of experience in operations, financial services industry, or related field
- Intermediate Microsoft Suites (Excel, Office and PowerPoint)
- Ability to manage multiple tasks simultaneously and prioritize high work volume without sacrificing quality or efficiency
- Excellent verbal and written communication skills
- Possess a high level of professionalism and interpersonal skills to handle sensitive and confidential situations
- Organized, detail-oriented, and strong problem-solving skills
- Strong time management skills with a proven ability to meet deadlines
- Ability to work in a fast-paced environment
- Data-entry and previous experience working in a CRM
