About the role
We are looking for a highly organized, detail-oriented Admin & Operations Coordinator to take ownership of the administrative and compliance functions of the business.
This role exists to ensure that important work gets done accurately, on time, and in a consistent way—even when that work is not fully defined in advance.
Some systems and processes exist today. Others do not. This role requires someone who can take recurring responsibilities, create simple and reliable processes to handle them, and then execute those processes consistently.
This is not a strategic or creative role. It is an execution and ownership role.

What You’ll Do
Administrative & Compliance Ownership
• Manage workers’ compensation audits and reporting
• Handle insurance documentation and communication
• Complete union reporting accurately and on schedule
• Maintain compliance-related records, deadlines, and documentation
• Coordinate with vendors, auditors, and external partners
Office & Information Flow
• Manage incoming communication (email, documents, requests) and ensure it is routed and handled appropriately
• Ensure important information is captured, organized, and acted on
• Maintain clear and organized digital and physical filing systems
• Reduce dropped balls by making sure nothing important is overlooked
Process Creation & Improvement
• Identify recurring administrative and compliance tasks
• Create simple, repeatable processes for completing those tasks
• Document processes clearly so they can be followed consistently
• Improve processes over time to increase reliability and efficiency
Operational & Administrative Support
• Manage office supplies and vendor relationships
• Support internal coordination across departments
• Assist with special projects and administrative needs as they arise
Light Accounting Support
• Assist with data entry (AP/AR) as needed
• Support the finance function with documentation and organization
• Follow established procedures for handling financial information
