We are expanding and seeking a strong, experienced Office Manager to help lead our administrative operations and support our growing team.Position OverviewWe are seeking an organized, professional, and proactive Office Manager to oversee both front and back-office operations. The ideal candidate will be a natural leader with strong customer service skills, exceptional problem-solving abilities, and a passion for helping behavioral health programs run smoothly. This role is essential in ensuring a positive first impression for consumers, maintaining efficient clinic flow, and supporting compliance with Maryland COMAR 10.63 regulations, HIPAA, and CARF standards.What Youll Do (Key Responsibilities)Oversee front desk operations and supervise administrative staff.Maintain a clean, organized, and welcoming environment for consumers and visitors.Develop and implement office procedures, workflows, and administrative systems.Support onboarding, training, and performance monitoring of administrative staff.Oversee provider schedules and ensure smooth consumer flow throughout the day.Monitor cancellations, reschedules, and appointment reminders to maintain productivity.Support clinicians and program staff by ensuring timely communication and coordination.Support internal audits, chart reviews, and documentation accuracy.Ensure compliance with CARF accreditation requirements, COMAR regulations, and HIPAA.Monitor EMR documentation and assist with uploading, scanning, and record accuracy.Oversee insurance verification and eligibility processes.Ensure accurate copay collection and billing documentation.Serve as the point of contact for escalated consumer concerns.Coordinate building repairs, safety checks, cleaning schedules, and contractor visits.Manage office supplies, inventory, and equipment maintenance.What Were Looking For2 years of office management or administrative leadership experience.Behavioral health or medical office experience strongly preferred.Knowledge of HIPAA; familiarity with COMAR & CARF is a plus.Strong leadership, communication, and interpersonal skills.Ability to multitask in a fast-paced environment.Experience with EMR systems (ICANotes preferred).Professionalism, reliability, and a positive attitude.Why Join UsSupportive and collaborative team environment.Mission-driven agency with strong community impact.Meaningful work supporting mental health in Maryland.Opportunities for growth and leadership development.Inclusive, culturally competent work environment.
