Renewable Solar Inc. (RSI) is a rapidly growing Solar Engineering, Procurement, and Construction (Solar EPC) company. The Operations Coordinator is a critical, cross-functional role responsible for ensuring maximum performance, financial accountability, and regulatory compliance across RSI's commercial solar fleet. This position requires a comprehensive blend of technical, analytical, and administrative skills to support the O&M department.
Key Responsibilities and Duties
The Operations Coordinator duties are structured to ensure strong customer account management, accurate lifecycle tracking, efficient service coordination, and financial and regulatory integrity.
1. Customer Account Management & Lifecycle Tracking (40%)
Purpose: Serve as the primary operational point of contact for customer accounts and ensure accurate tracking of contracts, warranties, and account status.
- Maintain customer accounts across commercial and residential portfolios, including contacts, service history, and contracts
- Track contract terms, scopes, and expiration dates; proactively support renewals
- Monitor and manage equipment warranty status and applicability
- Serve as primary point of contact for customer account coordination and inquiries
- Ensure timely delivery of reports, invoices, and contractual obligations
2. Work Coordination, Scheduling & RMA Management (25%)
Purpose: Coordinate service execution and ensure efficient handling of field activities and equipment processes.
- Schedule preventative maintenance and module washings based on contracts and customer availability
- Track and manage work orders from initiation through completion
- Coordinate RMA processes including defective equipment tracking and vendor communication
- Coordinate with vendors and internal teams to resolve service and equipment needs
- Verify completion and documentation of work prior to financial processing
3. Invoicing, Reporting & Financial Coordination (25%)
Purpose: Ensure accurate financial processing and provide clear reporting to customers and internal stakeholders.
- Support invoice preparation and submission aligned with completed work and contracts
- Partner with Finance on billing, tracking, and customer follow-ups
- Generate customer-facing reports including service summaries and account updates
- Maintain accurate data to support billing, reporting, and financial transparency
4. Compliance & WREGIS Account Management (10%)
Purpose: Support regulatory and renewable energy credit processes through accurate account and documentation management.
- Manage WREGIS account setup, updates, and maintenance for applicable systems
- Coordinate compliance documentation and customer approvals
- Support regulatory filings and ensure data accuracy and completeness
Skills and Qualifications
Required Experience: 1 year of experience in solar operations, customer account management, service coordination, or an administrative/analytical support role (or equivalent combination of education and experience).
Customer Account Management: Experience managing customer accounts, including contract tracking, customer communication, and service coordination across multiple clients.
Contract & Warranty Awareness: Familiarity with contract terms, service scopes, warranty tracking, and lifecycle management of assets.
Work Coordination & Process Management: Experience with scheduling, work order tracking, and coordinating service activities across internal teams and vendors. Understanding of RMA processes is preferred.
Financial & Reporting Support: Experience supporting invoicing, maintaining accurate records, and generating reports for customers or internal stakeholders.
Software & Data Skills: Working knowledge of CRM and workflow tools such as Buildertrend, JobNimbus, or Monday.com, and proficiency with Microsoft Excel for tracking and reporting.
Communication & Organization: Strong written and verbal communication skills with the ability to manage multiple customer accounts, maintain organized records, and coordinate across teams effectively.
Educational Requirements
Required: High school diploma or equivalent.
Supervisory Controls
The Operations Coordinator is a non-supervisory position which reports to the Operations Manager.
Evaluation Factors
The Operations Coordinator performance will be evaluated based on the effectiveness of system monitoring and remote troubleshooting, quality and timeliness of alarm documentation, escalation accuracy, and coordination with vendors, maintenance teams, and customers to maintain plant health. Additional evaluation criteria include accuracy and completeness of reimbursable work documentation and invoice readiness, adherence to compliance and regulatory support processes (including WREGIS/REC), optimization of service schedules, data integrity, and the ability to provide clear operational reporting and customer support.
The Operations Coordinator performance will be evaluated based on effectiveness of customer account management across commercial and residential portfolios, accuracy in contract and warranty tracking, timeliness of invoicing and reporting, efficiency in RMA and service coordination, organization of WREGIS and compliance processes, and overall data accuracy.
Pay Scale
The Operations Coordinator compensation will be at market rates, based on qualifications, currently between $25 - $32/hour ($50k-$64k/year)
