We are growing and looking for a Patient Care Coordinator to join us and grow alongside the clinic!

About the Role

This role is ideal for someone who is outgoing, empathetic, highly organized, and great with people. You’ll be the welcoming face of our clinic, supporting patients from the moment they walk in and helping ensure the day-to-day flow of the clinic runs smoothly.

The Patient Care Coordinator runs and oversees all front desk operations, patient flow, non-clinical in-clinic support (such as PEMF mat sessions), lab kit and supplement coordination, and general administrative organization.

Key Responsibilities (Overview)

  • Welcome and check in patients with warmth, professionalism, and care
  • Manage patient flow and help keep the clinic running on time
  • Assist patients on and off in-clinic modalities such as the PEMF mat
  • Schedule patient follow-ups and program visits accurately and efficiently
  • Assist with schedule optimization and patient communication
  • Prepare and organize lab kits and supplement orders for patients
  • Track, stock, and keep lab kit and supplement inventory organized
  • Provide general administrative and operational support for the clinic and clinicians, in collaboration with our administrative team in place
  • Answer the office phone, message patients back and collaborate with the clinical and administrative team to ensure excellent patient experience
  • Assist new patients in onboarding

Required Experience

  • 1–3 years of front desk, administrative, or customer service experience in a medical or wellness setting
  • Strong communication and interpersonal skills
  • Comfort with technology and office systems
  • Ability to lift up to ~20–25 lbs (supplement boxes, lab kits, supplies)
  • Experience in a wellness, functional, or integrative medicine clinic
  • Familiarity (but ideally experience) with supplements and herbs
  • Experience with EMRs (Cerbo is a plus, but not required)
  • Experience with Go High Level (CRM would be a plus)

Schedule & Growth

  • Monday - Thursday 8:30-5:30pm in clinic (with lunch break) and short day on Fridays (occasional team trainings on Fridays)
  • Hours: 8:30am–5:30pm (1-hour lunch break)
