Duties
- Greet visitors warmly and professionally, creating a positive first impression for clients and guests
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle incoming correspondence, emails, and inquiries promptly and efficiently
- Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
- Support office management tasks such as calendar scheduling, appointment setting, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies
- Provide exceptional customer support by addressing questions and resolving issues with a friendly attitude
- Coordinate office activities to promote a productive work environment through effective time management and organizational skills

Requirements
- Proven experience in office administration or clerical roles, preferably in a healthcare or professional setting such as medical offices, oncology center
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent phone etiquette with experience managing multi-line phone systems in a professional manner
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Knowledge of medical terminology, prior authorization process
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Experience with data entry, filing systems, proofreading, and customer service is essential
- Knowledge of medical receptionist duties is a plus but not required; training will be provided for specific responsibilities
- Personal assistant or office management experience is beneficial for supporting executive calendars and administrative needs
- Strong organizational skills with meticulous attention to detail
- Excellent verbal and written communication skills, ability to interact sensitively with oncology patients and families
Qualifications
Required
- High school diploma or GED required, associate's degree in health administration or related field preferred
- Minimum 1–2 years of experience in a medical front desk, patient registration, or healthcare administrative role
- Working knowledge of medical insurance terminology, prior authorization processes, and eligibility verification
- Proficiency with athenahealth EHR and Microsoft Office
- Strong organizational skills with meticulous attention to detail
- Excellent verbal and written communication skills; ability to interact sensitively with oncology patients and families
Preferred
- Medical Assistant (MA) certification preferred
- BLS (Basic Life Support) or CPR certification preferred
- Experience in oncology, radiation therapy, or specialty medical practice setting
