Job Description: Production Assistant

POSITION SUMMARY:
The Production Assistant plays a critical support role within the Production and Operations team at Renaissance Historic Exteriors. This position assists with coordinating projects, tracking materials, supporting field crews, and ensuring accurate documentation throughout the lifecycle of a job. The ideal candidate is detail-oriented, organized, proactive, and comfortable working in a fast-paced construction environment with both office and field exposure.
KEY RESPONSIBILITIES:
Production & Project Support:
- Assist Production Managers and Project Managers with daily job coordination
- Support scheduling of crews, deliveries, inspections, and subcontractors
- Track job progress and assist with updating project statuses
- Help prepare job folders, permits, work orders, and closeout documentation
Materials & Logistics:
- Assist with material ordering, tracking, and delivery coordination
- Verify material quantities against job requirements
- Communicate with suppliers and vendors as directed
- Help resolve material shortages or delivery issues
Documentation & Reporting:
- Maintain organized digital and physical job files
- Assist with entering data into internal systems
- Collect and organize photos, invoices, delivery tickets, and inspection reports
- Support production reporting and internal audits
Communication & Coordination:
- Serve as a point of contact between office staff, field crews, and vendors as needed
- Relay accurate information between departments
- Answer production-related calls and emails professionally
- Escalate issues to appropriate leadership when necessary
Compliance & Safety Support:
- Assist with tracking required documentation including permits and inspections
- Support safety initiatives by ensuring required forms and checklists are completed
- Help maintain compliance with company policies and jobsite requirements
QUALIFICATIONS & SKILLS:
- High school diploma or equivalent required
- Construction, roofing, or production support experience preferred
- Strong organizational and time-management skills
- Attention to detail and ability to manage multiple priorities
- Proficient in Microsoft Office (Outlook, Excel, Word)
- Strong communication skills
- Professional demeanor and strong work ethic
PHYSICAL & WORK ENVIRONMENT:
- Primarily office-based with occasional jobsite visits
- Ability to sit, stand, and work at a computer for extended periods
- Occasional lifting of up to 25 lbs
- Exposure to active construction environments when visiting job sites
