Job Summary
We are seeking a highly organized and Office Manager to oversee daily operations in our office. The ideal candidate will possess strong administrative skills, excellent phone etiquette, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring that the office runs smoothly and effectively supports our team’s objectives. Our current office Manager will be there to train and prepare the new person.
Responsibilities
- Responsibilities include but are not limited to:
- Handling accounts receivable and accounts payable activities.
- Preparing customer work/service orders, drafting, and submitting invoices.
- Managing collections
- Answering phone calls and emails from customers and vendors.
- Making outbound calls and emails to customers and suppliers, ensuring excellent responsiveness and service.
- Preparing proposals, quotes, and estimates for customers.
Skills:
- Proficiency in QuickBooks Desktop is a plus and preferred.
- Exceptional attention to detail and organizational skills.
- Strong communication skills, both written and verbal.
- Ability to work independently in a single-person office environment.
- Strong phone skills.
