This position provides administrative support for the Chief Human Resources Officer (CHRO) and supports the HR Leadership team as needed. This role is a liaison for the HR department, working closely with other Administrative Assistants and senior management teams, and will oversee special projects as designated by the CHRO. The ideal candidate can exercise good judgment in a variety of situations, has strong written and verbal communication and organizational skills, and can maintain a realistic balance among multiple priorities. They should be able to work independently on projects and must be able to work under tight deadlines to handle a wide variety of activities and confidential matters with discretion
Core Responsibilities:
Administrative Support – 75%
- Manages a dynamic calendar of appointments using Outlook
- Ensures executives are aware of daily schedule, have appropriate hand-outs, files, presentations, etc. in advance of meetings and notified of schedule changes as they occur
- Communicates high priority conflicts to obtain feedback and reset priorities prior to rescheduling
- Coordinates the most efficient use of Executive’s time including anticipating and preparing daily schedule of meetings and priorities
- Organizes, prioritizes, and summarizes content of incoming materials, specifically gathered information, special requests and meeting information
- Anticipates, prepares, and compiles materials for conferences and meetings on own initiative
- Screens phone calls and determines whether Executive should be interrupted based on business need of caller
- Composes correspondence, memos, presentations, organization charts and confidential material.
- Compiles ad hoc HR Reporting, i.e., turnover, and associate reporting changes
- Assists HR leadership with expense reports and vendor invoicing
- Orders department supplies as needed for recognition, business cards and other HR activities
- Confirms compliance of new employee related documentation, i.e., handbook acknowledgement, etc.
Event Coordination – 25%
- Schedules and coordinates meetings, conference calls, department events and other executive events; informs attendees/participants of function dates and times, reserves meeting space and arranges for catering services as appropriate
- Drives projects and initiatives as designated by the CHRO and manages necessary follow-up
- Coordinates travel arrangements as needed for HR leadership team
- Assists with coordination and preparing materials for Monthly Company Staff Meetings and All Associate Meetings
