Position Summary

We are seeking a highly organized and detail-oriented professional to support our accounting and service operations team. This role is responsible for customer billing, accounts receivable, collections, construction accounting support, service scheduling, and administrative coordination. The ideal candidate will have experience working in a construction or service environment and thrive in a fast-paced setting where accuracy, communication, and organization are essential.

Billing & Construction Accounting

• Generate accurate customer invoices from completed service work
• Review completed work orders to ensure billing aligns with the approved scope of work
• Assist with job costing by coding expenses, allocating costs, and reconciling labor, materials, and credit card purchases to the appropriate jobs
• Reconcile actual labor hours against billable hours and investigate discrepancies
  
  

Accounts Receivable & Collections

• Manage customer accounts and outstanding receivables
• Maintain aging reports and proactively follow up on past due invoices
• Build positive, professional relationships with customers while facilitating timely collections
• Research invoice discrepancies and resolve billing questions
• Process customer credit card payments
  
  

Service Scheduling & Operations

• Coordinate technician schedules and dispatch assignments
• Ensure service calls are assigned accurately and efficiently
• Maintain schedules several weeks in advance whenever possible
• Coordinate customer requirements, site access, security clearances, and other pre-job logistics
  
  

Customer Service & Administrative Support

• Serve as a primary point of contact for customer questions regarding invoices, scheduling, and service requests
• Communicate professionally via phone and email with customers, technicians, and internal departments
• Assist with payroll support by ensuring service reports are submitted accurately and on time
  
  

Qualifications

• 2 years of experience in construction accounting, service administration, and operations coordination
• Experience with billing, collections, and customer account reconciliation
• Strong organizational skills with the ability to manage multiple priorities simultaneously
• Excellent customer service and communication (verbal and written) skills
• Strong attention to detail and accuracy
• Excellent time management skills with a proven ability to meet deadlines
• Proficiency with Microsoft Office, particularly Excel
• Ability to work collaboratively across multiple departments
• Experience in the construction, service, mechanical, electrical, or industrial industries
• Understanding of job costing and project accounting
• Experience supporting service scheduling or dispatch operations
• Knowledge of payroll support and expense reconciliation
• Experience working within an ERP or accounting software platform (Sage is a plus)
