Job Summary
Reliance One is seeking a Research Division Administrator to support one of our clients in Ann Arbor, MI. This role provides administrative and operational support within the Research Division, ensuring smooth daily operations, effective communication, and accurate financial coordination.
Key Responsibilities
- Manage purchase requisitions, PO dispatch, vendor invoicing, and reconciliation with expenditures using Ariba.
- Support new hire onboarding, including desk setup, access coordination, and orientation preparation.
- Coordinate internal meetings, events, and cross-department communication.
- Provide travel planning and itinerary support for the Division VP.
- Maintain organized records for technical reports, publications, and confidential documents.
- Prepare and submit monthly accruals and expense tracking reports.
- Keep evacuation and safety lists updated for assigned areas.
- Liaise across departments to collect information, resolve issues, and streamline processes.
- Manage office supply inventory and budget; recommend and process purchases as needed.
- Handle incoming mail distribution and day-to-day office operations.
- Bachelor’s degree (BS/BA) required.
- 3 years of experience with Ariba Purchase Order systems.
- 5-day on-site presence required; schedule: Monday–Friday, 9:00 a.m.–5:30 p.m.
- Strong customer service and organizational skills.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint).
- Understanding of budget vs. actual financial tracking.
- Proven ability to manage multiple priorities with accuracy in a fast-paced environment.
- Excellent verbal, written, and interpersonal communication skills.
- Japanese language proficiency highly desirable.
- PeopleSoft experience is a plus.
